Overview
EP Co is looking for a Business Affairs Associate. This role will interface with producers on a day to day basis, receiving comparative bid forms and quotes. We are looking for someone with a strong knowledge of all aspects of content and digital production and the ability to interface with the client’s cost consultant and/or production supervisor.
Primary Job Responsibilities
- Prepare and process production agreements, vendor award packages, broadcast estimates, and processing them to obtain purchase orders. Coordinate with vendors to incorporate them into the vendor system
- Working directly with producers on bidding internal productions.
- Obtain key accounting documents, invoices from vendors and processing them for payment, request balance sheets of pending payments to follow through.
- Actualize projects, issue quotes vs. actual upon project finalization, follow up on all payments to close projects in a timely manner.
- At project close gathers all production actuals, total cost back up invoices, quotes and PO's, contracts, agreements, pre pro book and finished spot.
- Trains and orients Agency (or will learn to) in Broadcast/Social production protocols, client guidelines, union talent guidelines, music rights and third party rights issues.
- Provides a unified approach to the bidding process and paperwork for all producers to work with as well as making sure each estimate follows the client’s guidelines.
- Internal efficiency in the production administrative process through actualization and closing of projects.
- Oversees payment process to vendors to maintain agency-vendor relationship.
- Clear all Copyright/Trademark material on content including working with legal on securing clearance.
Required Experience
- 1-3 years of advertising agency experience in business affairs, production, or combined
- Strong attention for detail
- Demonstrate ability to multi-task various projects and clients and function in a fast-paced, deadline sensitive environment.
- Some familiarity of and/or interest in learning union and non-union talent fees, rules, and usage
- Excellent communication and writing skills
- Solid analytical and organizational skills
- Robust interpersonal skills
- An adaptable and positive attitude
- Team player willing to go the extra mile to get the job done
- Knowledge of Microsoft products such as Word, PowerPoint, Excel and email and estimate and PO creation systems.
