Job Description:
Under the general direction of the Office Manager, the Administrative Assistant will provide day to day administrative support for the department and the Agency. Full time work schedule is:
Monday & Thursday 12:30p -9:00p, and Tuesday, Wednesday & Friday 8:00a -4:30p
- Patient Interaction: Greet patients warmly upon arrival, ensuring a positive first impression. Assist patients with completing necessary forms and documentation and verify their medical history and insurance information.
- Administrative Duties: Manage front desk operations, including answering phone calls, scheduling appointments, and maintaining patient records. Ensure that the office runs smoothly by handling correspondence and managing the flow of patients.
- Medical Record Management: Maintain accurate and up-to-date patient records in compliance with HIPAA regulations. Ensure that all documentation is complete and filed correctly, facilitating easy access for healthcare providers.
- Laboratory Procedures: Collect and prepare laboratory specimens, such as blood and urine samples, for testing. Perform basic laboratory tests and assist with the preparation of specimens for transport to external laboratories.
- Equipment Maintenance: Ensure that medical equipment is properly maintained, sanitized, and ready for use. Conduct routine checks and report any malfunctions or necessary repairs to the appropriate personnel.
- Insurance Verification: Verify patient insurance coverage and eligibility prior to appointments. Assist patients in understanding their insurance benefits and any out-of-pocket expenses they may incur.
- Emergency Response: Be prepared to respond to medical emergencies, including performing CPR and first aid when necessary. Maintain knowledge of emergency procedures and protocols to ensure patient safety.
- Team Collaboration: Work collaboratively with healthcare professionals, including physicians, nurses, and other medical staff, to provide comprehensive patient care. Participate in team meetings and contribute to discussions regarding patient treatment plans.
- Patient Follow-Up: Schedule follow-up appointments and remind patients of upcoming visits. Ensure that patients receive necessary referrals to specialists and follow through on any recommended tests or procedures.
- Technology Utilization: Utilize electronic health record (EHR) systems effectively to document patient interactions and maintain accurate records. Stay proficient in using medical software and technology to enhance workflow efficiency.
- Cultural Competence: Demonstrate sensitivity to diverse patient backgrounds and cultures. Provide care that respects the values and beliefs of all patients, fostering an inclusive environment.
- Professionalism: Exhibit professionalism in all interactions with patients, families, and colleagues. Maintain confidentiality and ethical standards in accordance with healthcare regulations and organizational policies.
- Time Management: Prioritize tasks effectively to manage a busy workload and ensure timely patient care. Develop organizational skills to handle multiple responsibilities without compromising quality.
- Patient Advocacy: Act as a liaison between patients and healthcare providers, advocating for patient needs and preferences. Ensure that patients feel heard and supported throughout their healthcare journey.
- Quality Assurance: Participate in quality improvement initiatives to enhance patient care and operational efficiency. Provide feedback on processes and suggest improvements based on patient experiences and outcomes.

Pay: $21.00 - $23.00 per hour
