Position Overview: Epicenter Foundation, a dedicated HUD-approved housing agency, is seeking a versatile and dedicated full-time administrator to support our executive team and ensure the smooth operation of our housing counseling and community programs. This role blends high-level administrative support with operational leadership, focusing on efficient service delivery, compliance, and strategic planning. Working in close collaboration with senior leadership, the Administrator will play a key role in managing daily operations, coordinating EPICENTER programs, and fostering community partnerships.
Key Responsibilities:
- Administrative & Executive Support:
- Manage the Executive Director’s calendar, coordinate cross-departmental projects, and maintain accurate records.
- Assist with grant proposals, research new funding opportunities, and track expenses.
- Provide comprehensive support to senior leadership and ensure effective communication across the organization.
- Program Coordination & Operations Management:
- Oversee and coordinate housing counseling, financial education, and community support programs.
- Ensure efficient scheduling, resource allocation, and implementation of housing services.
- Monitor internal processes and workflows to optimize service delivery and compliance with federal, state, and HUD requirements.
- Compliance, Risk Management & Quality Assurance:
- Ensure adherence to HUD housing counseling program guidelines, federal and state regulations, and funding requirements.
- Develop and enforce risk management practices and maintain compliance with organizational policies.
- Assist in the development and monitoring of internal controls and quality assurance processes.
- Financial Oversight & Resource Management
- Align spending with strategic priorities, contribute to grant reporting, and support funding compliance efforts.
- Oversee financial tracking and reporting processes to ensure transparency and accountability.
- Stakeholder Engagement & Community Outreach:
- Build and maintain strong relationships with community partners, government agencies, and funders.
- Represent Epicenter Foundation at public meetings, industry forums, and community events.
- Support marketing initiatives by managing web content and assisting with the creation of informational materials.
Qualifications:
- Education:
- Bachelor’s degree in Business Administration, Nonprofit Management, Public Administration, or a related field is preferred. Advanced degrees are a plus.
- Experience:
- A minimum of 2–3 years in administrative support, program coordination, or a related role.
- Experience in nonprofit operations or housing services is highly desirable, with a proven track record in project management and operational oversight.
- Experience supervising teams, managing budgets, and ensuring compliance with regulatory standards is beneficial.
- Skills & Competencies:
- Excellent organizational, multitasking, and project management skills.
- Strong written and verbal communication abilities.
- Proficiency in G Suite, MS Office, QuickBooks, and familiarity with design or data management software.
- Ability to handle confidential information, work independently, and adapt to changing priorities.
- Demonstrated commitment to advancing housing equity and supporting low- to moderate-income communities.
- Additional Requirements:
- Successful completion of a Live Scan (Fingerprinting) and Background Check.
- A 3-month probationary period may apply.
