Position Description
- The IP Legal Assistant/Docketing Specialist will be responsible for a wide range of administrative and clerical support tasks related to the firm's needs and will handle all aspects of docketing for an extensive global IP portfolio. This role is primarily remote. Depending on the candidate's location there may be opportunities for in-office time.
- Providing advanced administrative and clerical support to the firm's Office Manager
- Maintaining and updating the firm's IP docketing system (AltLegal)
- Docketing all incoming and outgoing correspondence with clients and foreign associates
- Preparing and sending deadline reporting e-mails to clients
- Generating IP portfolios for clients and conducting due diligence as needed
- Generating regular docket reports and running customized docket queries
- Auditing IP records for accuracy
- Creating and editing documents, presentations, and spreadsheets
- Collaborating with attorneys and paralegals to manage IP deadlines
- Corresponding with clients, foreign associates, attorneys, and paralegals about various trademark matters
- Managing daily routine tasks with high attention to detail
- Proactively identifying workflow inefficiencies and proposing effective solutions
- Associate of Arts or Associate of Science degree required; Bachelor of Arts or Bachelor of Science degree preferred
- Proficiency in Microsoft Office (especially Outlook, Excel, Word, and One Drive)
- At least 2-4 years of experience with trademark docketing and managing an IP docket is required; Experience with AltLegal docketing software is preferred
- Previous experience in an IP assistant role within a law firm or corporate legal department is required
- Working knowledge of U.S. and foreign trademark prosecution, maintenance, and enforcement processes and procedures is required
- Working knowledge of the USPTO, TTAB, EUTM, and WIPO systems is required
- Excellent organizational skills and outstanding attention to detail
- Excellent data entry, proofreading, and reading comprehension skills
- Strong oral and written communication skills
- Ability to manage multiple projects and deadlines simultaneously
- Ability to efficiently work under pressure and adjust quickly to meet deadlines in a fast-paced, often unpredictable, environment with competing priorities
- Ability to work independently as well as collaboratively with a team that is located in various offices
- A genuine interest in trademarks and intellectual property

- The salary range for this role is $60,000 - $80,000. Actual salary will depend on the candidate's geographic location, relevant experience, and skillset. The salary range listed is just one component of Epstein Drangel's total compensation package for employees. Other monetary rewards include annual discretionary bonuses based on performance and profit-sharing contributions based on eligibility and firm profitability.
