About the Role
We are seeking a Part-Time Intake Specialist to serve as the warm, knowledgeable first point of contact for new potential clients. This critical team member will manage the new client intake pipeline and conduct initial intakes with professionalism, empathy, and precision. The ideal candidate is highly personable, quick-thinking, detail-oriented, and thrives in a fast-paced environment where client needs come first.

Key Responsibilities
· Serve as the first point of contact for potential new clients (PNCs) via phone, email, or referral.
· Conduct comprehensive, structured intake interviews with potential clients.
· Accurately capture and enter client information into intake software and systems.
· Identify potential red flags or matters outside the scope of the firm’s practice and escalate appropriately.
· Draft, send, and track signatures on fee agreements
· Maintain strong working knowledge of the firm’s services, team members, and intake priorities.
· Coordinate initial attorney consultations and ensure smooth handoff from intake to legal teams.
· Track the status of open intakes and ensure follow-up is timely and consistent.
· Work closely with the system manager, attorneys, and client service team to optimize intake flow and client satisfaction.
· Operates standard office equipment.
· Sending faxes and making copies of legal documents.
· Preparing documents and organizing them in a packet according to firm’s standards for client review.
· Coordinates schedules with the systems administrator and legal secretaries regarding coverage during absences.
· Coordinate appointments, including all correspondence and logistics necessary for consultations.

Qualifications
· Experience in legal intake, customer service, case management, or front-office roles.
· Familiarity with law firm operations, especially in litigation, real estate, estate planning, or business law.
· Prior experience in fast-paced service environments.
· Ability to manage multiple tasks and deadlines with minimal supervision.
· High attention to detail and organizational skills.
· Excellent written and verbal communication skills and customer service acumen.
· Familiarity with Clio, Box, RingCentral, and Mac (Apple) Computers are a plus.
