As a Brokerage Administrator, you will play a vital role in supporting the brokerage team by providing comprehensive administrative and research support. Your responsibilities will encompass a range of tasks, including the management of real estate forms, market research, and the preparation of marketing materials. You will be expected to collaborate closely with the sales team, maintain accurate records, and ensure the timely distribution of information.
Role Responsibilities:
- Administrative Support: Provide general administrative assistance to assigned team members, including managing schedules, coordinating meetings, and ensuring smooth office operations.
- Market Research and Analysis: Conduct detailed market research to support new listings, including analyzing market characteristics, competing products, and rental and sales comparisons. Prepare demographic research and create market maps with demographic overlays to inform strategic decisions.
- Listing Management: Oversee the listing process from start to finish, including data entry, monitoring, and proofing the production of property flyers. Develop financial and parcel exhibits, and ensure the availability of marketing materials and brochures.
- Sales Support: Prepare sale and lease packages for client distribution, assemble property tour sheets, and ensure all necessary property information is ready for prospect meetings. Facilitate the distribution of prospect inquiries to agents promptly.
- Marketing Coordination: Maintain an active listing ledger, monitor agent compliance with marketing plans, and add relevant activities to a master marketing calendar. Prepare and brand market reports, and push out listing availability. Evaluate online listings to ensure they are detailed and accurate.
- Research and Strategy Development: Assist in researching prospects for specific listings, prepare direct mail letters, and maintain mailing lists. Analyze sales and market data to identify trends, forecast demand, and evaluate the effectiveness of marketing strategies. Collaborate with the sales team to develop and implement strategies for entering new markets or increasing market share.
- Technology and Tools: Become proficient in the use of CoStar and similar products, making marketing suggestions based on independent research conclusions. Conduct phone surveys or other research tasks in compliance with real estate law.
- Contract Review and Compliance: Review contracts to ensure proper use and negotiation of software tools. Prepare offering memorandums (OMs) and sign orders
Education and Experience:
- Bachelor’s Degree required.
- 2-3 years experience in commercial real estate or an administrative roll preferred
- Proficiency in Microsoft Suite required
