Job Description

The Procurement team of the Property Operations function is responsible for managing company expenses in the related categories determined by SVP of Procurement and Facilities. The main focus of the Sourcing, Business Analyst role is to assist and support the Sr. Director, Procurement and the broader Procurement and Property Operations teams in the administration and reporting of numerous property programs and projects, across all three business segments : new construction, renovation, and property management.

This position will be responsible for providing data and analysis for projects including the following : program start-ups, opportunity identification, detailed and quantitative analysis, recommendations, request for proposal creation, vendor selection and consolidation, program pilots, implementation, stabilization, measurement and tracking, program communication, and expense reporting. This position will support these programs on a day to day basis to ensure that they are running optimally and we are meeting our expense goals.

Some of the key responsibilities include : collecting, synthesizing, and reporting on external and internal program metrics; making decisions directly impacting program operations; preparing summary highlight presentations on the progress of key initiatives; conducting current-state analysis across designated expense and income categories; managing vendor relationships and expectations; auditing vendor compliance and invoicing; front-end involvement in cost-reduction initiatives; and direct impact on expense reduction.

  • Knowledgeable. Your background includes a combination of procurement, sourcing or project management, skills that you've built through both educational and professional experiences. You're comfortable with vendor negotiations, contract reviews, and making strategic recommendations to go-forward business plans. You are a strong Microsoft Excel user and know how to leverage its extensive capabilities, whether it be to analyze data, evaluate trends, or problem solve to achieve effective results.
  • Organized and Accountable. You might like lists and checking things off. You take great notes and know how to prioritize competing projects and tasks to make the biggest impact. You ask lots of clarifying questions so that you can deliver on expectations.

WHAT YOU'LL DO :

  • Directs and performs data collection and management , conducts performance trending and data analyses, produces management reports, makes decisions to address problems and issues and provides broad support for assigned categories.
  • Creates presentations and related communication to highlight summary program / project results to key internal and external stakeholders.
  • Responsible for preparing ad hoc analysis on program results , including : areas of risk, action items needed, key opportunities for improvement, etc.
  • Manages vendor relationships and day-to-day program functions ensuring desired Property Operations outcomes and goals are met.
  • Serves as a go-to liaison for internal customers and external vendors to resolve large-scale or complex requests, questions, issues, etc.
  • Conducts audits of vendor invoicing and pricing and other contract requirements to ensure compliance.
  • Suggests process improvements that result in better visibility and more effective management of resources and / or reduced costs and directly implements those recommendations.
  • Develops and maintains complex databases and trackers of vendor and property data, open issues, program changes, project implementations, etc.
  • Prepares periodic reports for accounting, internal audit, and senior management.
  • REQUIREMENTS & PREVIOUS EXPERIENCE :

  • A Bachelor's degree (or equivalent work experience) is required, with an emphasis in business, procurement, sourcing, supply chain or economics preferred.
  • Desired 2-5 years of previous professional experience in sourcing / procurement, analytical, operational or property management roles.
  • Position is multifaceted, requiring a high degree of flexibility, intuitiveness, conceptual thought processes, and exemplary organizational skills to support numerous existing projects and new business initiatives.
  • Analytical skills are necessary, with proficiency in Excel, Essbase and Google and have the ability to quickly master additional data collection and data management software.
  • This position also requires strong written and verbal communication skills.
