Job Description
Reporting to the Project Director, the Project Coordinator is responsible for analyzing, developing, and implementing process improvements to enhance funder and client satisfaction, and operational efficiency. This role is responsible for driving creativity and innovation in process improvement and change management strategies. Additionally, this position will collaborate with various departments and stakeholders to identify opportunities for improvement, develop strategic solutions, and oversee their successful implementation.
Essential Responsibilities/Job Duties
- Assists with generation of reports, including data gathering via the computer system, printed reports, or other available information.
- Develop and implement process improvement and change management strategies to enhance operational efficiency and maximize employee adoption.
- Develops, coordinates, and provides training and support to staff on new processes and procedures.
- Assist leadership in developing best practice methodologies and guidelines.
- Foster a culture of creativity and continuous improvement within the project.
- Conduct throughout analysis of current processes to identify inefficiencies and areas for continuous improvement.
- Responsible for processing supportive services including reviewing supportive services forms, contacting client to verify address (as needed), order items and verify receipts.
- Enters comments in project specific system(s) for supportive services in accordance with State requirements.
- Keeps organized records of all orders to be sent to Manager and/or accounting monthly.
- Responsible for documents to be uploaded into electronic case file system, eligibility screening, one-on-one and/or group orientations and ongoing Employment Plan Development.
- Meets with participants to identify barriers to employment and develop strategies for barriers.
- Maintains complete, accurate and timely case notes and related records company systems.
- Maintains professionalism and collaborative relationship within community-based agency.
- Maintains and implements current and future polices, memos and SOP’s and maintains Share Drive for the Project.
- Ensures confidentiality of job seeker information and protect and secure company equipment and property.
- Authorizes, distributes, and reconciles transportation assistance.
- Updates and maintains all social media platforms for the project including live chat features.
- Schedules meetings and manage calendars.
- Performs other duties as assigned.
Qualifications
- Associate degree or equivalent experience in workforce service programs (Temporary Assistance for Needy Families, Workforce Investment Act, One-Stop Operation).
- Preferred certification in process improvement methodologies (e.g. Lean Six Sigma Green Belt) or must be willing to pursue certification in process improvement methodologies, such as Lean Six Sigma Green Belt.
- Minimum of 1 year of experience in process improvement, client relations, change management, or a related role.
- Understanding of process improvement methodologies such as Lean, Six Sigma, or similar.
- Strong analytical and problem-solving skills.
- Strong customer service skills and program knowledge.
- Excellent communication and interpersonal skills.
- Ability to work collaboratively with cross-functional teams.
- Proficiency in process mapping and analysis tools.
- Strong organizational and project management skills.
- Work flexible hours and travel between operation sites and events as directed.
- Self-motivated and flexible team player with the ability to work with culturally diverse populations.
- Ability to work independently/self-starter while remaining in communication with off-site supervisors.
- Current driver’s license (with low-risk driver rating) and automobile liability insurance.
