THE OPPORTUNITY 

This is a Full-Time salary (exempt) position, paying $50,000-$60,000 a year depending on experience. The working hours are Mon.-Fri. 7:30AM - 5PM, 100% in-office, with additional hours as business needs require. 


The Office Manager will report directly to the CEO, in close collaboration with the CPO, but will support the entire leadership team and all ER2 team members nationwide. 


The Office Manager ensures that all ER2 offices run efficiently by performing administrative, clerical, and operational duties. They are responsible for overseeing office functions such as managing office supplies, team apparel/swag, maintaining a clean and organized workspace, scheduling maintenance, coordinating team engagement events and team member celebrations, and supporting both leadership and team members with various tasks.

THE DAY TO DAY

Administrative Support:

  • Assist leadership and team members with administrative tasks and support.
  • Manage calendars, schedule meetings, order and pick up lunches as needed, and assist with travel arrangements.
  • Prepare reports, presentations, and other business documents as needed.
  • Assist with internal and external communication, including drafting correspondence.
  • Maintain confidentiality of sensitive information and records.

Office Operations:

  • Oversee day-to-day office operations to ensure efficiency.
  • Manage office supplies and team swag inventory and place orders when needed.
  • Handle incoming calls, emails, and correspondence.
  • Manage incoming and outgoing mail and packages.

Communication, Coordination, & Team Engagement:

  • Serve as a point of contact for office-related inquiries.
  • Coordinate with vendors and service providers for all ER2 locations.
  • Coordinate and manage events and other initiatives that enhance team member satisfaction, morale, and overall engagement within the organization
  • Events and initiatives including health & wellness, volunteer activities, and holiday parties.
  • Coordinate team members’ birthday gifts, and work anniversary gifts & shout outs.
  • Establish effective communication strategies to keep team members informed about engagement initiatives, company news, and upcoming events.
  • Gather feedback from team members to identify areas for improvement and tailor engagement efforts accordingly.
  • Regularly analyze engagement data and trends to identify areas of improvement and opportunities for innovation.

Team Support:

  • Assist the company’s owners with miscellaneous requests such as shipping items, ordering lunches, coordinating personal appointments, running errands, etc. 
  • Assist with onboarding new team members, including building welcome bags, workspace setup, introductions, and training.
  • Travel between our 2 AZ locations as needed (Mesa & Phoenix)
  • Run errands and perform other duties in support of any ER2 team member or department.

Facilities Management:

  • Ensure the office is clean, organized, and safe.
  • Also maintain and organize common areas such as conference rooms, break rooms, and reception areas.
  • Manage office equipment and ensure proper maintenance and repairs.
  • Clean and maintain supplies, tools, equipment, and storage areas to ensure compliance with safety regulations.

Budget and Expenses:

  • Track and manage office-related expenses within budget.
  • Handle invoicing, payments, and accounting tasks related to office supplies and services.

HR & Payroll:

  • Assist with team member timekeeping, payroll processing, and benefits coordination as needed.
  • Ensure compliance with office policies.


THE VITALS (required)

  • 3-5 years proven experience as an office manager or in an administrative role.
  • High school diploma or equivalent.
  • Associate’s or Bachelor’s degree in business administration or a related field (preferred).
  • Strong organizational skills.
  • Excellent communication skills, both written and verbal.
  • Proficiency in Microsoft Office Suite or Google Workspace - including Excel/Sheets
  • Ability to work independently and as part of a team.
  • Strong attention to detail.
  • Resourceful! 

WORK ENVIRONMENT

  • Open-office
  • Mesa headquarters has a large office space connected to a warehouse - this role will be supporting all areas 

PHYSICAL REQUIREMENTS

  • The ability to lift, push, pull, or carry heavy objects as needed 50 lbs.
  • Ability to work and look at a computer screen for extended hours per day.
  • Ability to sit and/or stand for consecutive hours.

OTHER REQUIREMENTS

  • Legally authorized to work in the United States
  • Valid Drivers License
  • Must complete drug screen upon hire
  • Clean criminal record
  • The ability to speak/read English fluently
