Position Overview
We’re looking for an enthusiastic and service-minded Reservation Specialist to join our team in the Mayville office. This role is essential to our operation, especially during the busy summer months when guest demand is at its peak. Key Responsibilities
Guest Service & Booking:
Be the friendly and knowledgeable first point of contact for potential guests. Answer inquiries, recommend properties that match their needs, and guide them through the reservation process with care and professionalism.
Reservation Management:
Accurately process bookings, update reservation systems, and monitor availability across our vacation rental portfolio.
Property & Area Knowledge:
Develop a strong understanding of our properties — including rentals within Chautauqua Institution, around Chautauqua Lake, and in Ellicottville — along with knowledge of local attractions, seasonal events, and special offerings so you can help guests plan the perfect stay.
Teamwork:
Work closely with fellow reservation agents, the housekeeping, maintenance, and marketing teams, and property owners to ensure seamless guest experiences.
Problem Solving:
Address guest questions, resolve issues, and handle occasional challenges that arise before or during their stay, always aiming for positive outcomes.
Sales & Upselling:
Promote special packages, upgrades, and extra services to enhance the guest’s experience and contribute to revenue goals.
Documentation:
Maintain detailed and accurate records of all reservations, guest requests, and important communication in our system.

- Excellent communication skills — both written and verbal.

- Comfortable with technology — experience with reservation systems and office software is a plus.
- Local knowledge of Chautauqua Lake, Chautauqua Institution, Ellicottville, and surrounding areas is a bonus.
Qualifications
- High school diploma required; college coursework in hospitality, tourism, or business is a plus.
- Customer service experience preferred (hospitality experience a bonus).
- Team player mentality — someone who steps up and supports the group during peak times.
- Ability to work weekends and holidays during summer season, with more flexible hours during slower times.
