What are the responsibilities and job description for the Human Resources Admin position at Ergon, Inc - Refining & Marketing?
Resinall Corp, an Ergon company currently has an opening for a Human Resources Admin in our Hattiesburg, Mississippi location. The HR Admin is responsible for Payroll and HR Transactions, Employee Relations and Policy Administration, Entry-Level Recruitment and Onboarding (Administration), Compliance and Policy Administration, and Reporting. This position will report to the HR Manager.
Job Duties
The duties of the HR Admin include, but are not limited to, those outlined in the following primary responsibilities. Other responsibilities may be added or substituted should this become necessary.
Payroll & HR Transactions
- Work with Corporate Personnel/Payroll and HR on weekly hourly payroll.
- Manage HR transactions such as timekeeping, attendance, and data maintenance.
- Ensure managers post schedules, approve PTO, and authorize timesheets.
- Submit manual payroll adjustments and review payroll previews for accuracy.
- Process employment status and wage rate changes for hourly positions.
Employee Relations & Policy Administration
- Provide guidance on company policies and escalate complex issues.
- Communicate employee information and unique situations to management.
- Maintain personnel files and ensure accuracy.
- Assist with FMLA and disability requests.
- Support employee recognition programs and employee events.
Recruitment & Onboarding
- Post entry-level job openings, screen resumes, and source candidates.
- Manage background checks, drug screenings, and pre-employment paperwork.
- Guide new hires through benefits selection (BSwift).
- Assist with interviews for entry-level positions.
- Prepare onboarding paperwork and schedules for a smooth new-hire experience.
- Educate newly hired employees on HR policies and procedures.
Compliance & Policy Adherence
- Follow policies and procedures as outlined in the Employee Handbook.
- Ensure adherence to state and federal laws and regulations.
- Assist with termination processes and coordinate personnel changes with payroll.
HR Reporting & Process Improvement
- Generate headcount reports, hours worked, PTO, sick time, and overtime reports.
- Identify and implement continuous improvement initiatives in payroll and HR processes.
General Support & Administrative Duties
- Provide backup support for the front desk as needed.
- Work closely with Corporate HR, Payroll, and Benefits departments.
- Perform other duties as assigned within the scope of training and responsibilities.
Education Level:
- Bachelor's Degree preferred.
- 3-5 years of professional HR experience.
Specific Skills:
- Strong organizational skills.
- Effective communication and interpersonal skills.
- Ability to maintain confidentiality and exercise mature judgment.
- Experience with Microsoft Office Suite, timekeeping, and HR applications.
- Knowledge of state and federal labor laws.
- Problem-solving aptitude and familiarity with HR policies and procedures.
- Professional demeanor and ability to build positive working relationships.
