Position Overview:
Ernst Concrete is seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide direct administrative support to the President, COO, and General Managers (field) while also assisting the owners with select personal matters as needed. This role requires exceptional time management, strong communication skills, and the ability to manage multiple priorities while maintaining confidentiality.
Key Responsibilities:
Administrative & Scheduling Support: Manage calendars for executives, schedule meetings, and coordinate appointments. Prioritize and organize incoming emails, correspondence, and phone calls, responding when appropriate. Prepare and maintain confidential documents, reports, and presentations. Assist in drafting and reviewing internal and external communications. Assist in preparing materials for board meetings, including reports, agendas, and presentations.
Tracking & Coordination of High-Level Projects: Track and help manage key company projects, ensuring deadlines are met. Assist in compiling status updates and coordinating with different departments to ensure progress. Help executives stay informed on company initiatives and provide organizational support.
Travel & Event Coordination: Book hotels, flights, and transportation while ensuring cost efficiency. Assist with scheduling and coordinating personal appointments and reservations as needed. Organize personal documents, gifts or special projects on behalf of the owners. Coordinate company events, leadership meetings, and field team gatherings. Track and help coordinate customer events, event tickets, and other engagement opportunities.
Marketing, Internal Communication, Recognition & Engagement Support: Work closely with the Marketing Team to assist with event planning, promotional materials, and internal communications. Help coordinate marketing-related projects, ensuring executives and field managers receive necessary materials or updates. Assist in coordinating employee appreciation programs, awards, and milestone celebrations. Help organize and track employee engagement initiatives to foster a positive workplace culture. Work with leadership to plan employee events, recognition gifts, and company-wide updates.
Requirements:
Qualifications & Skills:
- Experience: 3-5 years of executive assistant or administrative support experience, preferably in a corporate setting.

- Strong organizational and time-management abilities.
- Exceptional communication and interpersonal skills.
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
- Ability to handle sensitive and confidential information with discretion.
- Proactive problem solver with the ability to anticipate needs.
- Adaptability and ability to work under pressure.
Additional Details:
- This is an on-site position in Vandalia, Ohio.
- Not a remote role—must be available to support executives, field managers, marketing, and owners in person.
