BOOKKEEPER – PAYROLL/PERSONNEL
JOB SUMMARY
Under the direction of the Superintendent or designee, to perform complex and responsible clerical functions, to perform a variety of specialized payroll, personnel and financial clerical functions; to perform other related duties as required.
ESSENTIAL FUNCTIONS OF THIS POSITION
May include, but not limited to:
Payroll
- Processes and reconciles regular and supplemental payrolls; update information as necessary.
- Maintains accurate and organized employee payroll information and files including employee attendance.
- Maintains appropriate payroll records and reports in accordance with generally accepted accounting principles, including retirement, unemployment, worker’s compensation, STRS, PERS and others.
- Reconciles payment of federal and state taxes, Social Security, other post-employment benefits, and any other payroll related deductions.
- Prepares accurate and legally correct financial reports; state, federal and retirement reports; in-house reports, as required; and submit to appropriate agencies in a timely manner.
- Reviews payroll output for accuracy.
- Process and reconcile payroll eligibility reports and payments.
- Sorts, files, copies and distributes necessary payroll materials.
- Perform all other duties as assigned
- Prepare and process employee contracts and notices of changes in status including job assignments, salary, work location, employee status, including terminations, etc.
- Assist in the preparation of salary schedules, contracts and surveys.
- Assist in the recruitment and selection process.
- Monitor credentials and notify certificated employees of potential expiration dates.
- Answer questions and provide information to employees regarding their employment status, pay rates, and other entitlements.
- Assist new employees in completing hiring and payroll forms including employee benefits.
- Set up and maintain personnel files including credentials, transcripts, evaluations, tuberculosis records, etc.
- Assists in the development of district negotiation positions; researches and gathers data on district negotiation positions.
- Assists in the processing of liability insurance claims.
- Maintains confidentiality of information and records.
- Maintains files and provides other clerical services related personnel to the Superintendent.
- Perform all other duties as assigned.
- Performs a variety of technical accounting duties in the review, analysis and adjustment of assigned accounts; transfers funds as appropriate; monitors budgets for income and expenditures; audits accounts for errors and make appropriate adjustments; review, adjust and assure accuracy of journal entries; inputs various budget and accounting data into the District financial accounting software.
- Assists in the development of District budgets and projections; maintains a variety of auditable financial records and reports related to district budgets, accounts, audits and assigned activities.
- Receive, review and process purchase requisitions; check for accuracy and completeness regarding account coding and cost calculations.
- Reviews and processes accounts payable, accounts receivable and developer fees as assigned; analyzes and reconciles bank statements and other financial statements as directed.
- Serves as a technical resource to district personnel; responds to inquiries and provides information; assists other departments with making calculations and analyzing data; assists District personnel with resolving financial issues as requested.
- Types letters, forms and reports, which may be of a specialized, technical nature.
- Perform all other duties as assigned.
- A variety of procedures and processes including the maintenance of personnel and payroll records, specific rules, regulations, and guidelines related to assigned duties, and financial and statistical record keeping techniques. Modern office procedures and practices, including filing systems and excel spreadsheets, receptionist and telephone techniques, and letter and report writing; Proper English usage, including vocabulary, spelling, grammar, and punctuation.

- Exert 10 to 20 pounds of force frequently to lift, carry, push, pull, or otherwise move objects
