ADMINISTRATIVE EMPLOYEE SERVICE REPRESENTATIVE

The Administrative Employee Service Representative (Admin ESR) is responsible for providing administrative and hospitality support to ensure the efficient operation of our office and Employee Services. She/he will support the executive staff, corporate staff and all employees through a variety of tasks related to effective communication and organization. She/he will be able to maintain confidentiality and time management with all documents and communication. Independent judgment is required to plan, prioritize, and organize a diversified workload, with minimal supervision. This role is part of the Employee Service team and reports to the Employee Service Manager, while often receiving direction or projects from other leaders in the organization. This position is considered non-exempt, hourly, and is required to be in-person at ESI’s corporate office during all normal business hours. This is not a remote-eligible position.

ESSENTIALDUTIES:

  • Manages the office suite for business hours by unlocking the suite promptly at opening and locking the suite at the close of business each day;
  • Manages the office suite front reception area, breakroom, and shared meeting/conference rooms, ensuring cleanliness and organization;
  • Manages the front desk to welcome visitors by warmly greeting them and providing superior hospitality and customer service;
  • Receives and scans employee documents and processes them accurately;
  • Receives all packages and deliveries;
  • Responds to customer requests and inquiries using online ticketing system;
  • Enters data into Absence Management Systems (AMS);
  • Directs inquiries to the appropriate department while giving concise instructions;
  • Provides high level of customer service to clients, employees, and visitors;
  • Creates and maintains clerical, statistical, and personnel records;
  • Prepares mailings using check sealing equipment and postage machine;
  • Takes postal mail to post office daily/as needed;
  • Retrieves mail from building mailbox daily and delivers to addressee within office or processes appropriately;
  • Processes any documents for human resources, payroll, and billing in a timely manner;
  • Manages office supplies inventory and places orders as needed;
  • Manages breakroom supplies and ensures necessities are stocked regularly;
  • Handles general incoming phone calls & makes outbound follow up calls as needed;
  • Coordinates and books travel arrangements, conference registrations, lunches, and special events for executive staff and other staff as required;
  • Manages workflow by often multi-tasking to ensure deadlines are met and work is completed correctly;
  • Prepares materials and various office equipment as needed;
  • Uses software applications for word processing, spreadsheets, database creation and maintenance, information storage and retrieval, electronic file management, and related tasks;
  • Maintains continuity among work teams by documenting and communicating processes;
  • Acts as back up to District ESRs on phone queues;
  • Acts as liaison with building management, communicating service requests and following up as needed;
  • Acts as company Notary on certain documents;
  • Performs special projects as directed;
  • Maintains regular and reliable attendance and punctuality

REQUIREMENTS:

  • Proficiency in Microsoft Word, Excel, and Outlook and strong aptitude to learn various cloud-based systems and platforms.
  • Ability to operate a variety of standard office equipment (e.g., computer, telephone, copy machine/scanner, and other related office equipment)
  • Aptitude to learn job-related material primarily through oral instruction and observation in an on-the-job training setting
  • Composure to work under pressure to maintain workload and meet deadlines, ability to problem solve and adjust quickly to tasks that come up simultaneously or unexpectedly
  • Licensed Notary or willingness to obtain Notary
  • Efficient time management

MINIMUM QUALIFICATIONS:

  • High school diploma or GED
  • Three years of experience performing responsible and varied clerical work and superior customer service
  • Effective oral and written communication skills. Must be able to pass a criminal background check

PHYSICAL REQUIREMENTS:

  • Prolonged periods sitting at a desk and working on a computer
  • Must be able to lift up to 20 pounds at times
  • Visual acuity is required for preparing and analyzing written or computer data, operation of technology, and determining the accuracy and thoroughness of work

  • This position is based at our headquarters in North Scottsdale, AZ (Kierland area)

  • This is an in-person position and is not eligible for remote work
