This is an in-office position in Appleton, Wisconsin and has a seasonal schedule that requires the ability to work more than 40 hours per week during peak times.
Our ideal candidate is one who wants to pursue a career in retirement plan administration and is customer focused. The Assistant ESOP Administrator will learn all aspects of ESOP retirement plan administration including recordkeeping, compliance testing, distributions, and regulatory reporting.
ESOP Partners is a firm experiencing exponential growth and therefore, the Assistant ESOP Administrator position will continue to evolve and include other duties and responsibilities in addition to those listed here, and as assigned by management.
GENERAL JOB DESCRIPTION
The Assistant ESOP Administrator is responsible for census reconciliation, determining plan eligibility, trust accounting, preparation of mailings, recordkeeping for plan distributions, allocation of participant benefits calculation, 1099R, and 945 reporting, and preparation of account reports.
The position will require a person dedicated to professional development and ESOP education to increase their ESOP knowledge base and effectiveness to deliver on client expectations.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Responsible for individual production results as well as contribution to busy season goals for the ESOP administration team.
- Census data reconciliation.
- Determines which employees have met plan eligibility provisions determined by the plan document.
- Reports basic trust activities occurring within ESOP or accrued for the reporting period.
- Responsible for preparing control list and other documents relating to the mailing of statements.
- Responsible for documenting distributions, tracking forms received and entering them into our proprietary software.
- Responsible for following up on payment files.
- Responsible for preparing the 1099Rs and 945 for ESOP clients.
- Attends ESOP industry conferences, events, seminars, etc. to increase ESOP knowledge and skills.

This position also requires a good working knowledge of computer software applications, up to and including Microsoft Office and especially Microsoft Excel. Employees will be expected to learn ESOP Partners’ proprietary administration software: ESOP Revolution.
Education/Experience:
- Associate degree in business administration or another related field. Bachelor’s degree preferred.
- 1-3 years of administration or benefits management. Prefer recent hands-on ESOP administration experience.
Certifications/Licenses:
- Valid Driver’s License
Salary : $60,000 - $65,000
