The Coordinator will process philanthropic gifts, maintain Esperanza’s donor database and ensure prompt acknowledgement of all donors while working closely with members of Esperanza’s Associate Board to assist them in their fundraising responsibilities. The Coordinator will serve as the primary point person for event logistics, volunteer coordination and successful execution of staff/donor/community engagement activities.

As a key member of Esperanza’s External Affairs team, the Development Coordinator is responsible for assisting in the planning and execution of all departmental events to further Esperanza’s strategic aims. The Coordinator will process philanthropic gifts, maintain Esperanza’s donor database and ensure prompt acknowledgement of all donors while working closely with members of Esperanza’s Associate Board to assist them in their fundraising responsibilities. The Coordinator will serve as the primary point person for event logistics, volunteer coordination and successful execution of staff/donor/community engagement activities.
Primary Duties And Responsibilities
- Assist in the production of all fundraising events, including planning, venue and vendor selection, volunteer recruitment, publicity, day-of logistics, sponsorship/silent auction solicitation and other tasks, as needed.
- Plan and staff departmental outreach activities, including community drives, Associate Board events, flyer distribution days, patient engagement activities and others, as needed.
- Manage the donor database effectively. Ensure that all donations are entered correctly and that records for each donor are complete. Continually enter new prospects into the database, developing a system to receive new contact information from Esperanza staff.
- Oversee all aspects of the gift acknowledgement process. Write thank you letters and ensure that they are mailed out within 1 to 3 business days. Create and send annual tax letters.
- Run reports in Raiser's Edge and prepare donor prospect research to ensure that Esperanza is engaging strategically with both donors and potential donors.
- Assist in managing Esperanza's Associate Board, identifying meeting space, sending invitations and following up with members to help them meet their fundraising goals. Also take the lead on board member recruitment strategy and onboarding.
- Track event expenses and work alongside the Finance Department on budget reconciliation.
- Assist with website maintenance, ensuring all event information is up-to-date.
- Coordinate existing peer to peer fundraising efforts, including Esperanza’s Chicago marathon team, Half Marathon Team, and AIDS Run/Walk team.
- Collaborate with the Director of Development to create an innovative plan for annual fundraising and outreach activities to increase donor and patient engagement.
- Assist in planning and production of Giving Tuesday Campaign and year end giving campaign. This includes helping to create original content, organizing staff volunteers, monitoring day of engagement, and other duties as needed.
- If required, assist in the preparation of fundraising marketing materials.
- Other duties as assigned.
- Fluency in Spanish preferred.
- Strong interpersonal skills required.
- Must be able to work collaboratively with colleagues and volunteers in a fast-paced, deadline- driven environment.
- Familiarity with Raiser's Edge and Adobe products is strongly desired.
- Ability to think creatively and strategically and be a self-starting, independent worker is required.
- Fundraising, event planning and/or related experience is strongly desired.
- Proficiency in MS Office products is a must.
- Familiarity with Constant Contact is preferred.
- Some weekend hours and local travel will be required.
- This is a hybrid position.
