Essential Speech and ABA Therapy, a leading provider in comprehensive ABA therapy, speech therapy, and occupational therapy, is opening a new privately-owned franchise clinic in Katy/Fulshear, TX! We are committed to delivering high-quality, evidence-based interventions to children ages 18 months to 6 years old on the autism spectrum.
We are looking for a passionate, organized, enthusiastic Office Manager, who is seeking full-time employment, to join our team.
This is an exciting opportunity for an Office Manager to learn more about starting a business in the field while working collaboratively with a team to support this process. This will be a new site, so we are looking for an enthusiastic individual who will work with our team to lead a team of technicians and support the clinical excellence of a new center. Key Responsibilities:
Patient Coordination and Administration:
- Oversee the patient intake process, including scheduling assessments, verifying insurance details, and ensuring all necessary paperwork is completed.
- Manage patient scheduling for various therapies and assessments, coordinating with multiple departments to optimize provider and resource availability.
- Maintain accurate and comprehensive patient records in our electronic medical records system, ensuring privacy and compliance with healthcare regulations.
Communication and Customer Service:
- Serve as the primary point of contact for all patient and family inquiries, addressing concerns with empathy and efficiency.
- Facilitate communication between patients, families, and healthcare providers to ensure coordinated care and clear understanding of therapy processes and benefits.
- Manage sensitive information with confidentiality and integrity, adhering to all legal and company standards for information security.
Human Resources Management:
- Lead recruitment efforts by posting job ads, screening candidates, and coordinating interviews, ensuring a smooth and efficient hiring process.
- Conduct employee onboarding and training programs, providing new staff members with the tools and knowledge needed to succeed.
- Oversee payroll processing, employee benefits, compliance with labor laws, and implementation of company policies.
Marketing and Community Outreach:
· Develop and implement marketing strategies to enhance clinic visibility and patient engagement, using both online and offline channels.
· Manage social media profiles and communications, engaging with the community and promoting clinic services and events.
· Organize and promote clinic events and activities designed to improve staff engagement and enhance the clinic's reputation within the community.
Qualifications:
- Bachelor’s degree in Business Administration, Healthcare Administration, or related field preferred.
- Minimum of 3 years of experience in office management, preferably within a healthcare or therapy-focused environment.
- Demonstrated ability to manage complex schedules and sensitive information with discretion and professionalism.
- Strong leadership skills and the ability to oversee multiple tasks simultaneously in a fast-paced environment.
- Excellent verbal and written communication skills, with proficiency in managing professional relationships and team dynamics.
- Familiarity with healthcare regulations, electronic medical records, and data privacy practices.
