Job Description:
The Receptionist will serve as the first point of contact for our clients, providing a warm and professional presence in the office. The ideal candidate will be responsible for managing front desk operations, answering and directing calls, scheduling appointments, and assisting with office organization and filing.
Key Responsibilities:
- Greet and welcome clients in a friendly and professional manner
- Answer and direct phone calls, take messages, and respond to inquiries
- Schedule and confirm appointments for attorneys and staff
- Assist in managing the firm’s calendar and ensuring efficient scheduling
- Handle incoming and outgoing mail, packages, and deliveries
- Maintain a clean and organized reception area
- Assist with basic administrative tasks, including data entry, scanning, filing, and document organization
- Support attorneys and staff with client communications and follow-ups
- Maintain confidentiality and professionalism in all interactions
Skills & Qualifications:
- Experience: Prior experience in a receptionist or administrative role (preferably in a law firm or professional office setting)
- Communication: Strong verbal and written communication skills, with a professional and courteous demeanor
- Organization: Excellent time management, attention to detail, and multitasking abilities
- Technology Proficiency: Comfortable using office equipment, phone systems, and software such as Microsoft Office, Google Suite, and scheduling software
- Client-Focused: Ability to handle client interactions with empathy, patience, and professionalism
- Problem-Solving: Quick-thinking and resourceful in handling client needs and office operations
- Confidentiality: Understanding of legal confidentiality requirements and discretion in handling sensitive information
Preferred Qualifications:
- Prior experience in a law firm or legal setting
- Familiarity with legal software or case management systems
- Significant experience with Microsoft Office
