Job Description
This position is responsible for maintaining all project related data across the entire global portfolio of projects and transactions. Project Data is currently maintained in the Master Project List (MPL) and is updated on a monthly basis with each regional project leader. Transaction Data is maintained on systems hosted by our regional brokerage partners and exported into Excel spreadsheets.
The Data Analyst utilizes these data sets to measure and analyze our department performance against our established goals and objectives, and to develop reports and presentation materials that feed into our long term strategic plan. The Data Analyst is also responsible for validating information, creating ad hoc reports, and developing processes and procedures to maintain the data.
As outlined above, the Real Estate team currently utilizes Excel spreadsheets to track and report out on the portfolio of real estate projects taking place globally. Using Excel was a necessity at first in order to quickly build a foundation for project tracking, but at this point in time the team is looking to mature our project tracking/reporting process by migrating to a database application. This position will need to support the transition from Excel to a database.
Additionally, this position supports the maintenance of our property data records in the EDGE2 database and OVLA systems. The scope of this data set is the global Pharmaceutical property portfolio (all owned and directly leased properties).
This role requires direct interaction with various Pharmaceutical associates in the Real Estate, Facility Management, and Project Management/Controls functions to obtain current and accurate data.

About Our Data Set:
The Real Estate project portfolio is composed of the following four primary project categories:
1. Consolidation Projects – a project aimed at reducing or consolidating our real estate footprint
2. Growth Projects – a project aimed at expanding our real estate footprint to accommodate business growth
3. Property Disposals – the selling of an owned property
4. Base Business Transactions – real estate transactions that do not change our footprint such as a lease renewal
Each of these four project types have their own set of data fields that we track and report on. Growth and Consolidation projects have about 70 different data fields, Disposals about 50, and Base Business Transactions about 30.
Primary Duties:
• Maintain a complete and accurate data set of all projects being worked on in the Real Estate Group
o Critical Data points include:
? Capital and Expense requirements and timing
? Target submission and approval dates for Capital Appropriation Requests (CAR’s)
? Risk Adjusted probabilities
? Rooftop Reductions
? Project Impact to annual operating expenses (savings & growth)
? Cash Generation from property sales- amount and timing
? Properties impacted, headcount impacted, square footage impact, project descriptions, etc.
o Meet monthly with Project Leaders to update their data
? Update data on existing projects
? Add new projects
o Publish the current MPL on SharePoint in a public folder bi-weekly
• Create reports to measure Real Estate performance
o Establish annual goals for savings, property exits, cash generation, project spend (capital & expense), and CAR approvals
o Measure the performance against these goals in an ongoing monthly report
o Create additional presentation materials for Quarterly Reports that get communicated up through leadership channels
• Support ongoing Property Data Management
o Collect data and update property records in EDGE
o Run reports and provide data analysis from EDGE and OVLA
• Ad Hoc reporting and analysis support
o Understand the complete spectrum of project and property data to support the high volume of ad hoc data requests
o Requests are being submitted by colleagues across numerous functions including Real Estate, Facility Management, Project Management, Project Controls, Consultants supporting specific Pharmaceutical initiatives, Legal, etc.
• Tracking and reporting actual project spend (capital and expense) in partnership with Project Management/Controls
• Tracking and reporting savings in partnership with Procurement
• Developing new processes and procedures to maintain data as our existing data set continues to expand
• Support the transition from Excel to a database solution for project tracking
• Other duties as assigned

Qualifications:
Education
A minimum of a bachelor’s degree is required, preferably with a major in Engineering, Finance, or Computer Science/Data Administration.
Experience
A minimum of five years related work experience is required.
Critical Competencies
• Must possess excellent analytical and data management skills
• Advanced Microsoft Office Suite (Outlook, Excel, Access, Word, PowerPoint) and Database skills are required
• Proficiency in Microsoft SharePoint
• Must demonstrate strong communication and interpersonal skills
• Ability to work in a team environment with flexible workplaces
• Strong work ethic, ability to work independently, and ability to manage multiple tasks.
