Purpose:
Efficiently manage various administrative tasks while supporting the Personal Injury Department. The position requires exceptional communication skills and the ability to thrive in a fast-paced environment, ensuring that all patient and attorney interactions and case management duties are handled with professionalism and attention to detail.
Role and Responsibilities
Manage staff schedules both on-site and remote
Manage Neurologists schedules
Manage Testers schedules
Schedule all incoming referrals
Maintain all spreadsheets
Attorney communication
Oversee individual staff members roles/responsibilities
Assist in obtaining BI/UM
Maintain individual email and Ethos Coordinator email
Monitor PI referral email
Send the text to the patient with appointment details
Send Panda doc intake for telemed appointment
Monitor TBI Testing schedules
Verify testing dates are full and make changes as needed
Identify patients that need to be rescheduled due to missed appointment
Monitor Neurology schedules/Verify neurology schedules are full
Identify patients that need neurology completed
Monitor Onedrive
Ensure the Completed Testing Merged folder is dispersed timely
Monitor 30-day follow-up calendar
Monitor Trello
Collect EOD reports
Ensure the team has reached out to reschedule any missed appointments
Incoming faxes
Provide coverage when employees are out of the office
Audit new patient telemed charts to ensure accuracy
Answer phones
Collect and review timecards for accuracy
Approve time off requests, communicate time off on the LD calendar
Training New Hires/Continued training for current staff
Staff 1 on 1’s and reviews
Communicate updates with the team

Qualifications and Education Requirements
High School Diploma/GED
Superb organizational skills
Time management skills

Strong leadership skills
Strong verbal and written communication skills
1 years of personal injury experience (preferred)
5 years of management experience is preferred
A Bachelor's Degree or equivalent is preferred
