What are the responsibilities and job description for the Project Assistant position at ETS?
POSITION OVERVIEW:
The Project Assistant is based in the field, and supports an assigned project by providing administrative and clerical support to the project team (PM, Superintendent, etc.).
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Greets and directs individuals visiting the Project office/site.
- Responsible for project administration activities (Document Control - submittals, RFI's, approval, follow-up, timesheets, expense reports, purchase orders, etc.).
- Distributes drawing and design revisions, bulletins, and other related documents to Project manager, Construction Management, Superintendent, etc.
- Complete all project related documentation and deliverables as assigned.
- Assist the Project Manager and/or Construction Manager with resource planning.
- Coordinate with vendors and suppliers (orders and deliveries).
- Maintain and distribute project meeting minutes.
- Assist Superintendent with New Hire paperwork and orientation.
- Responds to or routes routine inquiries from external or internal sources with appropriate correspondence or other messaging.
- Maintains files, databases, and archives relevant records.
- Schedule and coordinates meetings and other project-related activities.
- May manage project expense reporting, office supply inventory, or other routine processes.
- All other duties as assigned.
REQUIREMENTS:
- Two-year certificate from college or secretarial school preferred, or five years' related experience and/or training; or an equivalent combination of education and experience.
- Ability to read and interpret documents such as policies and procedure manuals. Ability to write routine reports and correspondence.
- Ability to calculate figures and amounts such as proportions, percentages, areas, circumference, and volume.
- Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form.
- Must be proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Must be proficient in Procore.
- Working knowledge of Microsoft Project is preferred.
- Ability to operate in a project focused environment.
- Strong communication (verbal and written) and interpersonal skills.
- Ability to speak Spanish preferred.
- Possess high ethics, good judgment and ability to take decisive action.

They must frequently wear eye protection (Industry standard safety equipment is provided by the company, and specific notice is posted in areas where safety equipment is required).
