CIRCULATION ASSISTANT II
Full-time (40 hours)
(Passport Agent - Customer Service - Clerical)

Euclid Public Library has an immediate opening for an enthusiastic, resourceful, creative addition to our team. The successful applicant will work at a public service desk and must have the ability to communicate with patrons and staff effectively, balance the cash drawer for daily use, fax documents, organize work, perform a variety of detailed clerical tasks, work in a team environment, process interlibrary loan requests, and have experience in customer service. Library experience using the Sirsi computer system preferred. In addition, this position requires the applicant to pass an annual passport exam and take passport photos to become a Passport Agent. Time to study for the exam and to practice taking acceptable passport photos is provided. Certified Passport Agents are accepting applications on behalf of the U.S. Department of State. The passport process has multiple steps that must be meticulously followed. This position is required to supervise the circulation department in the absence of the Circulation/Technical Services Manager. All work of the Circulation Assistant II requires a high level of attention to detail. All of the duties listed here and in the job description, must be performed while maintaining the confidentiality of our patrons and staff.
Minimum requirement: High school diploma, or an equivalent combination of education, training and experience. Applicant must be proficient with Microsoft Office Word and have some knowledge of Excel.

Work hours: 40 - 45 hours a week, which includes days, two evening shifts and alternating weekend hours. Sundays are over and above the regularly scheduled workweek. A bidding process is used for Sunday work determines how many Sundays are required October through May. Flexibility with scheduling a must.
Work requires moderate physical effort including frequent standing, walking, and lifting of materials.
Pay rate: $16.32 per hour plus benefits such as paid-time-off, sick time, holiday pay and insurance benefits.

POSITION SUMMARY:

The Circulation Assistant II assists in accomplishing that mission by charging and discharging library materials, processing interlibrary loans, accepting passport applications, providing assistance to patrons and performing a variety of circulation duties.
POSITION DUTIES:
80% Public Service
  • Answers and routes telephone calls as needed
  • Answers patron questions, directs patrons to appropriate areas of the library and resolves complaints in person and over the telephone
  • Accepts passport applications. Answers patron questions regarding the completion of passport forms, takes passport photos,
collects funds, and completes appropriate sections on the passport application
  • Charges / discharges materials on automated system, routes materials in/out, files reserves, and instructs patrons on the use of
self-check machines
  • Checks shelves for claimed returns and reported lost materials
  • Completes Golden Buckeye applications, voter registration materials and issues library cards and updates patron information
  • Faxes documents for patrons
  • Follows established procedures for responding to patrons triggering the inventory control system
  • Instructs patrons in use of copiers and maintains equipment.
  • Notifies patrons when reserved materials are available and retrieves materials for reserves/send item list
  • Registers patrons for programs and classes
  • Sends lost notices and collects fines and fees
  • Supervises circulation desk in absence of the Circulation/Technical Services Manager
10% Interlibrary Loan
  • Fills material and articles requests from CLEVNET and non-CLEVNET libraries for patrons
  • Places materials on the reserve shelf at the circulation desk
  • Prepares UPS deliveries for non-CLEVNET libraries
  • Processes daily delivery and incoming materials
  • Troubleshoots routing problems
5% Clerical
  • Collects money from public copiers regularly
  • Maintains circulation supplies
  • Reviews completed applications
  • Totals and prepares cash register for daily use
5% Miscellaneous
  • Accepts donations, empties book drop and processes Sunday newspapers
  • Alerts supervisor to problems encountered in work routines
  • Attends meetings and serves on internal committees
  • Maintains and increases knowledge and skills through attendance at meetings, conferences, training seminars and
in-service training sessions
  • Participates in the Strategic Planning process
  • Prepares and maintains records and reports
  • Performs additional duties and assignments, as requested

QUALIFICATIONS:
Education, Training and/or Experience
  • High school diploma, or an equivalent combination of education, training and experience
* Certification as a Passport Acceptance Agent required unless exempted*
Knowledge, Skills, Abilities and Personal Characteristics
  • Ability to arrange items in alphanumeric and/or subject order
  • Ability to follow oral and written instructions and to maintain accurate records as requested
  • Ability to interact with persons of various social, cultural, economic and educational backgrounds for the purpose of providing
professional service
  • Ability to make accurate change in money transactions and use a cash register
  • Ability to organize work, engage in a variety of tasks simultaneously and consistently meet deadlines.
  • Ability to screen applications for accuracy and detect errors
  • Ability to tactfully and effectively communicate with patrons and staff in a personable and professional manner.

PHYSICAL DEMANDS:
Work requires moderate physical effort including very frequent standing, walking, and lifting of materials. Requires the ability to operate standard business office and library equipment; the ability to communicate and exchange information, collect, compile and prepare work documents, set up and maintain work files; lift, retrieve and provide materials to patrons in a timely manner.

WORKING CONDITIONS:
Work performed in good working conditions – occasionally subjected to poor physical or environmental conditions and/or occasional health and safety hazards. There is daily use of a computer. Position requires the ability to work a flexible schedule, including evenings and weekends, and requires periodic participation and attendance at library events and meetings.
