Job title: Bookkeeper
Work Location: Eugene Mission (this is not a Remote position)

Reports to: Director of Finance & Human Resources
- Full-time Nonexempt (HOURLY)*
Schedule: Monday – Friday 8:00 am to 4:00 pm
Salary Range: $21.00-$25.00 per hour
Essential Duties and Responsibilities: Dynamic position encompassing both bookkeeping, donations, CRM, and inventory management. Process daily incoming donations and deposits, process weekly accounts payable, maintain financial accounting records in QuickBooks, provide financial reporting. Month-end; year-end closing of books. Perform other accounting duties and project work as assigned. Manage office and center specific supply inventory and ordering. Offer prompt, friendly and helpful service on the phone and in person.
Responsibilities/Tasks:
- Income Processing
- Process donations in Blackbaud CRM.
- Process ACH payments
- Upload current donation receipt letters (monthly, yearend, group spec.)
- Prepare and mail donor receipts – daily/annually-these should be in the Executive Director’s box daily by 2:00 pm for signing
- Update donor database with address corrections
- Maintain in-kind donation log/records
- Enter donation summaries from Blackbaud and “other income” checks in QuickBooks
- Scanning of bank deposits/manual deposit of cash/checks at bank daily-date stamp all incoming checks daily prior to processing
- Accounts Payable Processing
- Enter payables daily and weekly check runs
- GL code invoices and credit cards with proper account numbers
- Maintain accounts payable files
- Bookkeeping
- Update necessary monthly board reporting spreadsheets
- Prepare month-end and year-end financial reporting.
- Maintain W-9 folder/book for current vendors
Inventory & Donations Management:
· Receive, answer, return donor and account phone calls promptly providing information in a helpful, positive, friendly, and humble manner
· Provide general clerical assistance as requested by the Executive Director, Director of Finance and Human Resources, or other members of the administrative team
o Assist in preparing Board Packets for monthly meetings.
· Process incoming and outgoing mail
· Maintain UPS bulk mailing account information and adequate balances
o Check balances frequently: notices, Nov annual fee due
· Archive records in an appropriate and timely manner (destroy after 6 years)
· Order office and printer supplies, managing inventory for adequate stock levels, tracking usage and maintenance
· Develop and maintain inventory process for Main office/Finance office supplies
· Responsible for ensuring supply areas and copy rooms are clean and organized for easy access and inventory control
· Process background checks for new staff, volunteer drivers
· Update and maintain Eugene Mission approved Drivers’ lists and report to insurance
· Other duties as assigned
Education, Skills, and/or Work Experience Requirements:
· Highest standards of confidentiality and professionalism
· 5 years full cycle bookkeeping experience/associate’s degree in accounting preferred
· Experience with CRM databases and strong data entry skills
· MS Excel savvy and solid experience in other Microsoft Office products (Word, Outlook, PowerPoint)
· Solid QuickBooks or similar accounting software experience/QuickBooks Pro Certification Preferred
· Attention to detail, accurate, efficient, productive

Physical Requirements:
· Reliably able to complete critical responsibilities within required time frames
· Must be able to sit at a desk for extended periods of time
· Ability to walk frequently to direct visitors/donors/volunteers as needed
· Ability to bend/kneel (put away supplies, copier maintenance, etc.)
· Must be able to talk, listen and speak clearly and kindly on the telephone
