Facility Operation
- Ensure that a program of regular preventive maintenance is in place for building systems including, but not limited to, HVAC, primary and backup electrical systems, fire prevention, lighting, flooring, doors, paint, vehicles, pest control, landscaping, parking lots etc.
- Ensure that all areas of the building and grounds are kept in a clean and orderly condition; this includes a regular custodial program to provide cleaning, trash removal, restocking of cleaning and maintenance supplies and provision of appropriate receptacles and containers for waste
- Ensure that repair or replacement of malfunctioning or deteriorating building systems is carried out in a timely manner and that all such tasks are documented
- Oversee the engagement and work of service contractors including obtaining competitive contractor bids for services where appropriate, reviewing and approving contractor proposals for repair or renovation work and ascertaining that the work has been correctly performed and billed.
- Ensure that building plans, operation and maintenance SOPs and the necessary supporting forms are in place and up-to-date
- Ensure timely response to regulatory issues and inspection findings.
- Develop an appropriate set of quality and productivity metrics and ensure that they are regularly monitored
- Oversee the operation of a Facilities Helpdesk to ensure that tickets and work orders are appropriately assigned and addressed in a timely manner
- Ensure the availability of qualified Facilities personnel to respond to emergency situations such as fire, security breaches, equipment failures, etc.
- Ensures facility operations are conducted using safe work practices, and comply with all regulatory requirements and municipal codes.
- Participate in developing department goals, objectives, and systems
- Actively participate in company meetings
- Provide overall direction and assistance to the Facilities team
- Creates a working environment of teamwork, open communication, and exceptional service to internal/external clients
- Administer work schedules and review/approve associate time sheets
- Ensure appropriate staffing of areas of responsibility
- Ensure Facilities associates have the necessary training and direction to carry out their assigned duties safely and effectively, and are up to date with all applicable corporate training
- Represent department and the organization favorably and in accordance with established Company standards and associate attributes at all times
- Manage and direct activities of direct reports by effectively hiring, onboarding, training, and supervising work activities of team members
- Conduct regularly scheduled one-on-one meetings with direct reports focused on performance goals, progress, and career growth and development
- Assess team members by conducting effective performance reviews, and coach associates through necessary performance improvements as needed
- Conduct regular team meetings and/or provide regular communication to team members
- Promote proactive issue identification and resolution involving team members
- Participate in appropriate continuing education training programs
- Perform other responsibilities as assigned by management
- Level – Senior Manager -Fully meets responsibilities of Manager, plus
- Demonstrates broad knowledge of the facilities/maintenance field and proven leadership skills
- Operates with a high level of independence on facility/physical plant objectives
- Leads the strategic facility planning efforts, focused on long-term facility needs and growth in addition to tactical operations
- Leads large-scale facilities projects, which may include new construction, renovation planning, or upgrades of current programs/systems.
- Develops facility budgets and multi-year forecasts to support the facility strategic plans;
- Develops and presents budget and plan proposals to leadership as needed
- Facilitates planning meetings with stakeholders; educates participants on sound facility practices, engages others in creative thinking, and facilitates consensus.
Level - Manager
- 5 years in-depth knowledge of commercial HVAC, electrical and Building Management Systems;
- Healthcare facility management, commercial laboratory, or similar experience preferred
- 2 years previous supervisory experience
- Training or certifications in plumbing, electrical, and/or HVAC systems preferred
- Working knowledge of architectural systems; understanding of leases, contracts and related documents.
- Working knowledge of OSHA, fire codes, building codes, etc.
- Ability to solve problems, prioritize and multi-task in a deadline driven environment
- Ability to make independent decisions regarding matters of significance
- Ability to work and direct others on automated and manual platforms
- Requires flexibility in schedule, working hours and days (potentially including weekends) outside of normal schedule when necessary
- Goal oriented, with excellent time management and organizational skills
- Excellent interpersonal skills, with ability to interact effectively and work efficiently with people at all levels in an organization

- Bachelor’s degree in business, facility operations, engineering or related field preferred;
- 10 years of advanced industry experience in building maintenance, architectural/mechanical/electrical systems, construction management, or related field required
- Previous project management experience, preferably with large-scale maintenance or construction
- Planning and budget experience
- Proven people leadership skills, with 5 years experience preferred
- Ability to write reports and presentations and make effective and persuasive presentations on complex topics to employees and senior leadership
- Ability to negotiate effectively with contractors and internal stakeholders
- Ability to forecast and prepare budgets; ability to analyze metrics and make recommendations that have a positive impact on the company
- Physical dexterity sufficient to use hands, arms, and shoulders repetitively to operate a keyboard and other office equipment, use a telephone, access file cabinets and other items stored at various levels, including overhead
- Ability to speak and hear well enough to communicate clearly and understandably with sufficient volume to ensure an accurate exchange of information in normal conversational distance, over the telephone, and in a group setting
- Ability to stand for extended periods of time as necessary (4 or more hours)
- Ability to lift and move items weighing up to 15 pounds
- Physical dexterity sufficient to move body frequently around equipment and n
- Ability to continuously operate a personal computer for extended periods of time (4 or more hours)
- Mental acuity sufficient to collect and interpret data, evaluate, reason, define problems, establish facts, draw valid conclusions, make valid judgments and decisions
