What are the responsibilities and job description for the Senior Payroll Specialist position at Evans General Contractors?
Summary/Objective:
The Senior Payroll Specialist is responsible for timely and accurate processing of payroll transactions including but not limited to salaries, benefits, taxes, garnishments, expense reimbursement and other transactions. In addition, this position is in charge of maintaining and verifying all payroll records, developing best practices, and ensuring compliance with applicable regulations. The Senior Payroll Specialist will also serve as Evans’ SAP Concur Expense Administrator. This a full time, on-site position at our Alpharetta, GA office.
Duties and Responsibilities:
- Process and reconcile each payroll accurately and promptly according to established processes, controls and applicable legal requirements.
- Recommend updates to internal payroll, time, and expense processes based on data-driven insights and industry best practices.
- Ensure all deductions, including but not limited to benefits, taxes and/or garnishments, are being processed accurately.
- Ensure wage payments are being issued appropriately according to employee’s elections and/or state requirements.
- Ensure the accurate submission of tax filings by Evans’ Human Resources Information System (HRIS) and follow up on any required adjustments, corrections and/or amendments.
- Serve as the primary administrator of the SAP Concur Travel and Expense System.
- Monitors and reviews expenses submitted by employees through SAP Concur for accuracy as well as compliance with internal policies and billing requirements.
- Identify instances of non-compliance and anomalies in expense submissions/requests
- Collaborate with the team and managers to address expense-related issues and enhance adherence to internal policies.
- Ensure employees are completing appropriate tax forms, and are being taxed, according to their worked-in state and any applicable regulations.
- Regularly improve reporting methods for better data accuracy and relevance.
- Work with different departments and/or managers to streamline processes.
- Drive continuous improvement initiatives to enhance the overall effectiveness of Evans’ Travel and Expense Policy.
- Provide support to employees with timecard issues, expenses and other payroll related questions.
- Audit timecards to ensure accurate tracking of time worked for non-exempt employees.
- Maintain files, journals, ledgers, and worksheets to comply with recordkeeping requirements.
- Coordinates the distribution of W-2 forms and any other payroll-related records.
- Provides assistance/support to the Accounting Team and/or the HR Team during audits.
- Makes independent determination of any recordkeeping issues and notifies Controller of recommended resolutions.
- Other responsibilities as assigned.
Qualifications:
- Bachelor’s degree in Accounting, Human Resources, Finance, Economics, or equivalent work experience
- Minimum of 8 years of multi-state payroll processing experience
- Experience with ADP Workforce Now, or similar HRIS system, required.
- Understanding of appropriate tax jurisdiction based on work and resident state
- Maintain confidentiality of all Payroll and HR-related records
- Experience with tax filings and tax amendments
- Strong understanding of tax regulations and applicable labor laws
- Experience with SAP Concur
- Must be able to exercise appropriate judgment as necessary
- General accounting/record keeping principles and procedures
- Strong written communication skills
- Strong verbal communication, including active listening, for accurately answering employee questions
- Able to contribute positively as part of a team, helping with various tasks as required
- Ability to perform calculations for taxes and employee wages
- Experience with Microsoft Office Suite
- Self-motivation and organizational skills to meet deadlines
