Scheduler/Patient Access Representative
Position Description:
Under the general direction of the Patient Access and Centralized Scheduling supervisor, schedules and pre-registers patients, receives orders, obtains and documents pre-certification, and verifies accurate and complete patient information (demographics, insurance information) is entered in billing system. Communicates with patients, medical staff, medical staff personnel, and visitors while maintaining confidentiality.
Minimal Qualifications:
Education level equivalent to completion of four (4) years of high school. Completion of a medical terminology course helpful. Basic computer skills with typing speed of 28 words per minute. Clerical experience required. One (1) year prior experience in medical office/hospital registration, pre-certification and scheduling experience preferred.
Physical/Mental Demands:
- Ability to think and work effectively under stress with frequent interruptions; to move, sit, stand, walk, and bend intermittently throughout the work day. Lift and/or move up to 50 pounds.
- Must possess sight/hearing senses or use prosthetics that will enable the applicant to adequately fulfill the requirements of this position.
- Use of mechanical and technical equipment required for the responsibilities assigned.

Occupational Exposure to Bloodborne Pathogens:
Category III – Tasks that involve no exposure to blood, body fluids or tissues.
Orientation Period:
Up to one year to perform proficiently all essential position responsibilities. The first ninety (90) days this position is assumed is considered the probationary period, for which the employee is subject to continuous review.
Qualifications
The essential position responsibilities are the basis for the 90 day and annual evaluation. This list is intended to describe the general nature and level of work to be performed and not intended to be an exhaustive list of all duties required of personnel.
- Schedules outpatient tests for Radiology, Respiratory and surgical/out-patient procedures through Avreo and CPSI.
- Ensures orders are received and contain all needed information.
- Obtains and verifies that pre-certs are correct and documents in CPSI.
- Maintains the schedule that is given to Patient Access and Respiratory on a daily basis.
- Completes Pre-registration / Co-pay Authorization Worksheet on all procedures.
- Calls patient the day before to remind them of their procedure and informs of appointment time any co-pays due at time of service.
- Maintains physician orders that are received prior to service date.
- Works closely with Patient Access to streamline the registration process.
- Pre registers patients who are scheduled for future services, obtaining, documenting and/or updating required demographic and insurance information in CPSI.
- Completes MSP questionnaire on all Medicare patients during pre-registration call.
- Communicates problems quickly to Patient Access/Scheduling Supervisor. Assists the centralized scheduling supervisor with problem resolution.
