    Position Details:
    This position works 52 weeks a year. It is scheduled 5 days per week at 8 hours per day. The position follows the approved calendar for 52 week secretaries.

    Annual, incremental pay increases are given for each year of service with the EVSC in this role if an employee has worked at least 120 days in a school year. New employees will begin on year 1.

    Insurance:
    EVSC offers four (4) Anthem medical insurance plans. Full medical, dental and vision insurance are provided with this position. Employees may pay the additional cost to add family members. Click here to view the rates for each plan. If elected, insurance coverage begins the first of the month following the successful completion of a 30-day probationary period.

    Employees enrolled in an EVSC medical insurance plan are eligible to use any of the three EVSC Health & Wellness Centers. The health clinics provide primary care services, generic prescription medications, physicals, health screenings, and labs; all at NO COST to the employee or covered family member.

    EVSC employees have access to the EVSC Wee Care Learning Centers. The Wee Care program provides a quality early learning experience for employees' children as young as six weeks through age five at a special employee rate.

    This position will automatically be enrolled in the Public Employees' Retirement Fund (PERF) through the state of Indiana, which includes a defined benefit (Pension) as well as an Annuity Savings Account (ASA). Employees may also participate in a 403(b) Plan. Enrolling in the 403(b) plan allows employees to save for their retirement by making a pre-tax salary deferral contributions to the Plan.

    Eligible employees may enroll in the EVSC group life insurance and long term disability plans. EVSC also offers a variety of voluntary insurance products through American Fidelity.

    EVSC offers a free Employee Assistance Program (EAP). It is a confidential, voluntary service that provides professional counseling and referral services designed to help employees and their family members with personal, job or family-related matters.


    SUMMARY:
    Serves as confidential secretary to the director of psychological services and school psychologist staff.

    ESSENTIAL DUTIES AND RESPONSIBILITIES: Other duties may be assigned.
    • Process all ordering for the Office of Psychological Services.
    • Maintain records of payroll.
    • Organize and purge outdated student records adhering to educational record protocols for document storage.
    • Collect and forward due process paperwork from schools and Office of Special Education.
    • Handle incoming and outgoing calls, accurately document messages, and direct calls to appropriate staff.
    • Maintain accurate student files and records.
    • Prepare and create IDOE status reports.
    • Proofread and process psycho-educational reports.
    • Distribute psycho-educational reports to schools, parents, outside agencies, etc.
    • Process referral for evaluation information, including mailing legally required documentation to parents and schools, tracking receipt of documents from parents, maintaining detailed records of all efforts to communicate with parents.
    • Process reevaluation information, including distributing legally necessary information to schools following a strict timeline, maintaining detailed records of receipt of such documentation.
    • Maintain communication with Early Childhood Special Education Office for scheduling evaluations of preschool students, arranging case conferences, and keeping detailed records of all such scheduling.
    • Prepare and disseminate various communications to EVSC principals and administrators, such as early kindergarten entry information.
    • Maintain a welcoming and professional demeanor while assisting staff, parents and visitors.
    • Adhere to strict maintenance of confidentiality regarding student information.
    • Create reports and letters using Microsoft Office and Google Docs including merging, charting, and collaborative functions.
    • Enter data into special education tracking computer program and computerized scoring programs of standardized assessments.
    • Process 504 plans and 504 plan updates.
    • Support the Director of Psychological Services manage 504 compliance which may include creating and maintaining spreadsheets, filing hard copies of plans, and communicating with school personnel regarding 504 compliance.
    • Create and maintain the Secretary Procedural manual.
    • Support communication with agencies to support Article 7 Child Find responsibilities.
    • Process out of district approvals of IEPs and psychological reports.
    • Provide coverage for Culver Family Learning Center main office desk during lunch breaks and various circumstances (as needed) for the secretary.
    • Maintain regular attendance.

    JOB SPECIFIC SKILLS AND ABILITIES:
    • Ability to operate personal computers and skilled in Google, Microsoft, and PowerSchool applications including creating and editing spreadsheets to manage data within the department.
    • Ability to establish and maintain effective working relationships with students, staff, and the school community.
    • Ability to communicate clearly and concisely both in oral and written form.
    • Ability to work independently, to function effectively in a multi-task environment, and to interact positively with the public.
    • Ability to perform duties with awareness of and in compliance with related corporation policies and state requirements.

    Provide attentive childcare supervision during parent meetings with psychologists.

    EDUCATION AND/OR EXPERIENCE:
    High school diploma or general education degree (GED) and six months to one year related experience and/or training.
