The Position: Evening Star Joinery is seeking an Office Manager to join our team. This position is in Harbor Springs, MI.
The Office Manager is the first point of contact for the company and keeps the office and communication functions running smoothly and efficiently. The role of the Office Manager is to ensure that all team members have access to the resources and information they need to perform their jobs and support Evening Star Joinery operations.
Duties and Responsibilities:
Communications
Responds to incoming phone calls and emails and takes appropriate action
Manages and files company documents for quick retrieval as needed
Sends cards, gifts, or flowers as appropriate for births, weddings, bereavements, etc. on behalf of Evening Star Joinery
Plans and coordinates employee celebrations and company events, including but not limited to monthly employee meetings, holiday party, and Sub Lunch
Maintains employee contact information and birthday list
Office and systems
Maintains professional appearance and cleanliness of the office
Procures office supplies to always ensure adequate stock
Develops standard company forms and templates
Manages ESJ delivery driver and schedule
Maintains Time Off/PTO master
Manages work orders and paint slips for materials
Provides required items for Lead Carpenter, Project Manager, or Production Manager to post at jobsites (i.e., first aid kit, fire extinguisher, emergency information)
Enters P.O.s into Quick Books
Distributes incoming mail daily and prepares outgoing mail and shipments
Assists keeping employee files and information complete and up to date
Assists with hiring activities including posting job openings, screening candidates, distributing resumes, and coordinating interview appointments
Assists with new hire onboarding, including:
o Assembles new hire packages and onboarding schedule
o Sets up new employees with necessary communication tools (e.g., phone, email account, computer)
Sales and marketing
Promptly and professionally qualifies incoming leads and refers prospective clients to
salesperson
Enters all new leads into sales and e-newsletter databases, and keeps contact information current
Generates mail/email lists for marketing
Production and Service
Helps prepare jobs for production by assembling job books
At job launch, works with project team to assure that ensure the pre-mobilization checklist is completed
Manages communications and deliveries to/from jobsites, lumberyard, paint shop, etc.
Receives, inventories and stores project items to be installed at site (e.g., tiles, plumbing fixtures,
lighting fixtures, trim)
Purchases and inventories tools
Works with Project Managers and Site Supervisors to track client meeting notes
Benefits:
$21.00-26.00/hr, starting wage commensurate with experience, with the potential addition of profitability bonuses

Qualifications: Experience with Microsoft Office Suite and QuickBooks preferred; strong communication and organizational skills; ability to manage schedules and logistics effectively.
