Job Description: Executive Meeting Center Event Manager
Position of employment by global event agency, Event Strategy Group (ESG) on location at our client, Executive Briefing Center in San Jose, CA.

This role will require a strategic blend of organizational skills and charismatic client engagement, ensuring that every customer or partner who visits the EBC feels welcome, productive, and engaged. This is more than a job - it's a chance to be responsible for the direct success of sales engagements, feel a sense of pride and ownership of the briefing center, and create one-of-a-kind experiences for all who visit.

Responsibilities include:

  • Manage the day-to-day operations of the EBC serving as point of contact for internal support services, including security, facilities, A/V, IT, & catering for all customer and internal meetings.
  • Work with internal stakeholders, including Customer Experience, Brand, Digital, and Creative Marketing teams, to ensure digital content for all platforms within the EBC space are relevant and formatted properly. Be the primary interface with vendor for digital resizing of content.
  • Confidently meet both internal and external customers with a friendly demeanor and customer service-oriented manner.
  • Prepare each meeting room before the client’s arrival with the necessary A/V equipment, supplies, seating configuration, presentations, etc.
  • Act as concierge to internal stakeholders, sales teams and visiting customers by maintaining relationships with vendors, including restaurants, transportation services, and tour companies.
  • Carefully select menus and coordinate food & beverage ordering for all executive briefings and EBC coordinated meetings.
  • Maintain inventory of supplies and branded merchandise and track related budgets.
  • Produce daily collateral for all briefings (e.g., agendas, name tags, evaluations, welcome screen graphics, and building a digital wall for each unique event)
  • Manage the overall EBC editorial calendar, while also curating, generating, publishing, and sharing content daily to enable Sales to drive attendance to the briefing center. Create and update several internal SharePoint sites and external registration and agenda sites for ease of communication.
  • Assist briefing manager as needed with follow-up communication to all attendees post-meeting, including evaluation forms to remote attendees.
  • Securely manage data of all attendees and coordinate the entering of data and tracking with the sales team.

Successful Candidate Qualities:

  • Knowledge and experience in event logistics – corporate focus mandatory
  • Exceptional written and verbal communication skills
  • Strong ability to create a one-of-a-kind onsite attendee event experience
  • Fantastic customer service ethic and high expectations for quality with a sense of humor and upbeat, positive demeanor
  • Expert in San Jose, CA and surrounding area with a hospitality focus
  • Will pack, carry, ship, and unload boxes of supplies and equipment

Required Experience:

  • Education: Bachelor's Degree
  • Years of Experience: minimum of 3 years corporate event experience a must

Job Type: Full-time

Pay: $75,000.00 - $85,000.00 per year

Work Location: In-person in San Jose, CA. We anticipate around 4 days a week in office and 1 day remote, however it is possible some weeks are 5 days in office. This will vary with the event schedule.

Pay: $75,000.00 - $85,000.00 per year
