We are seeking a dynamic and experienced event Production Manager to join our team. Reporting to the Director of Production, the Production Manager will play a pivotal role in overseeing all aspects of event production, from pre-production to execution to post-production. The ideal candidate is strategic, detail-oriented, and possesses a strong understanding of the experiential and event production industry.
Responsibilities:
Pre-Production:
- Lead all vendor communication around events, including obtaining and reviewing vendor quotes, collecting Certificates of Insurance (COIs), coordinating crew meal details, and ensuring all vendor logistics are clearly communicated and executed.
- Conduct vendor outreach and manage vendor relationships and budgets assigned by project managers, focusing on non-AV vendors such as decor, catering, furniture rentals, and other event-specific services.
- Lead the overall logistics for each event by collaborating with all departments, vendors, and stakeholders to ensure seamless execution and alignment across all project components.
- Create visual decks showcasing options for furniture, themes, decor, and branding, or collaborate with the creative team to source items and ensure these elements are included in client presentations.
- Coordinate and manage all production schedules, to-do lists, and timelines.
- Create and manage onsite production playbook and coordinate shipping logistics.
- Attend site visits, often with clients and venue partners.
- Maintain positive relationships with vendors, venues, internal team members, and clients.
- Lead pricing negotiation and availability discussions.
- Communicate with the project manager team on task updates and roadblocks.
- Book hotel room blocks, travel, and meals for vendors.
- Oversee and manage the workload of coordinators and assistants assigned to events, ensuring tasks are delegated appropriately, deadlines are met, and quality standards are maintained. Provide guidance and support to team members to ensure they execute their responsibilities effectively, while also managing your own workload efficiently.
Production Execution:
- Professionally manage on-site conditions, challenges, and pivots, maintaining the clients overall vision and Eventiques production standards, while adapting to long hours and multi-day schedules often required for corporate events.
- Monitor the overall production schedule, communicating real-time adjustments to key team members, vendors, and other relevant parties to ensure that key benchmarks are achieved and timelines remain intact.
- Manage vendor load-in and load-out, as discussed during pre-production, ensuring smooth transitions and proper adherence to event timelines.
- Delegate and manage workloads for internal team members, freelancers, and support staff, ensuring the many moving pieces of each event are staffed appropriately and set up correctly for consistent and high-level execution.
- Support and lead the production team to successfully execute all assigned projects while thriving in a fast-paced, high-demand environment tailored to corporate events and conferences.
Post-Production:
- Provide constructive, opportunity-based feedback to internal teams, clients, and external partners post-event.
- Gather, verify, and approve final invoices from vendors for timely event close-out.
Requirements:
- 5 years of experience at an events-based agency or events-based organization
- Aligned and inspired by our company values
- Working understanding of technical aspects of production, whether virtual or live
- Track record of executing successful projects in the $200k - $3 million range
- Experience working in a collaborative, fast-paced team environment
- Proactive problem-solver who uses sound, values-based judgment to find creative solutions
- Contribute to the growth and efficiency of the company through new innovations and tools
- Proficient with Google Drive (Sheets, Docs, Slides), Social Tables, monday.com, and other relevant events-related software tools
Salary:
- $100,000-$115,000
Responsibilities include but are not limited to those listed above. All team members must support internal operations and administrative functions as assigned.
