Job Summary
We are seeking a highly motivated, detail-oriented, and proactive Executive Assistant to support our Senior Executive Assistant in managing the demands of a fast-paced executive environment. This role is ideal for a self-starter with at least 3 years of experience as an Executive Assistant or Administrative Assistant, who is looking to advance their career in a dynamic organization.
Key Responsibilities
- Administrative Support: Assist the Senior Executive Assistant in managing day-to-day operations, including scheduling, correspondence, and organizing meetings.
- Calendar Management: Coordinate and manage multiple executive calendars, ensuring alignment and minimizing conflicts.
- Communication: Serve as a liaison between the executive team and internal/external stakeholders, ensuring timely and professional communication.
- Project Assistance: Provide support on special projects, including research, preparation of materials, and follow-ups.
- Travel Coordination: Arrange travel itineraries, accommodations, and logistics for executives as needed.
- Documentation: Prepare, review, and edit reports, presentations, and other documents.
- Task Delegation: Assist in managing incoming tasks, ensuring they are prioritized and handled appropriately.
- Office Operations: Oversee supplies, resources, and other administrative needs to ensure seamless operations.
- Confidentiality: Handle sensitive information with the utmost discretion and professionalism.
- Minimum of 3 years of experience as an Executive Assistant or Administrative Assistant in a corporate setting.
- Experience supporting multiple executives or working in a high-growth environment.
- Strong organizational and multitasking skills with the ability to prioritize effectively.
- Exceptional verbal and written communication skills.
- High level of proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Proactive, self-starter mindset with a strong sense of initiative and accountability.
- Ability to maintain confidentiality and exercise discretion.
- Detail-oriented with excellent time management skills.
- Positive, can-do attitude and a willingness to learn and adapt.
College Degree preferred
