Medical Scheduler - Primary Care Scheduling
Responsibilities
The following duties and responsibilities generally reflect the expectations of this position but are not intended to be all inclusive, other duties may be assigned:
- Coordinate patient level scheduling for all assigned providers
- Ensure all appropriate visit types are scheduled
- Ensure that each patient is seen as medically necessary, per clinical protocol
- Ensure scheduling rosters are updated daily to ensure accuracy
- Ensure patient rosters are appropriately managed and acute visits and day of visit schedule changes occur timely
- Adjust visits as needed for PTO, sick days, or unusually high volume of new patient referrals
- Assist with reporting reasons for missed visits or provider concerns to Regional Clinical Leader for provider management
- Act as a liaison on requests that the facility has on scheduling/patient related communication with the new patient registration department and care teams
- Ensure that facilities or patients receive copies of all scheduled patient visits and assist with problem solving any issues
- Ensure any appropriate CCM services are documented.
- Notify Clinical Model Utilization Lead and/or Manager and Regional Clinical Leaders of any outstanding open notes by providers
- Work with Regional Clinical Leaders to assist with resolving scheduling related facility issues/concerns
- Check all forms of communication several times daily to ensure patient needs are met
- Ensure communication regarding transitions of care to CCM team to enhance patient care and education
- Assist with calls from facilities and patients regarding questions, issues, or concerns that cannot be triaged by a medical assistant or lead medical assistant
- Perform or assist with any provider support operations, as required to maintain workflow and to meet schedules and quality requirements
- Perform other duties as assigned
- High School Diploma
- 2 years of telephone or customer service experience required
- 1 year of prior healthcare scheduling or medical related experience required
- Experience with an Electronic Medical Record (EMR) and/or practice management system
- Familiarity with medical terminology required
- Knowledge of HIPAA privacy laws
- Excellent PC skills required; strong excel skills preferred
- Competent knowledge of Microsoft office; strong Excel skills required
- Ability to work under pressure of tight deadlines and complete task accurately
- Ability to effectively handle multiple priorities
- Strong level of detail and accuracy
- Must possess an understanding and adherence of legal and regulatory agency rule and guidelines
- Drive to help patients and staff with tact and diplomacy
LANGUAGE SKILLS:
- Ability to communicate clearly and concisely in verbal and written form.
- Strong communication skills and a customer service attitude.
- Must be able to frequently communicate with facilities and patients and/or with others about patient or provider requirements, complaints, and common inquiries.
- While performing the duties of this job, the employee is regularly required to communicate with others, including the ability to express oneself and exchange information in what, at times, could be a stressful or high-pressure environment.
- The employee frequently is required to move about the office to access files, use office equipment, and to interact with others. The person must be able to sit or remain in a stationary position for extended periods of time to be able to work, communicate on the phone, utilize the computer, and interact with others. The employee is occasionally required to stand or otherwise be able to access files, equipment, and other items in high places.
- Employee must be able to constantly operate computers, phones, and other office equipment.
- Employee must be able to bend, stoop, kneel, crouch, or crawl.
- The noise level in the work environment is usually low to moderate.
- Due to the collaborative nature of the business and the need to service customers, the employee must be able to interact effectively with others in an office environment, manage conflict, and handle stressful situations and deadlines.
- Requires desk work in office environment.
