Overview
The Grants Accountant plays a key role in ensuring accounting for college grant programs are accurately and successfully maintained. This position collaborates with budget managers of state and private grants by providing financial analysis, monitoring expenditures, and supporting decision-making. In addition to maintaining accurate financial records and ensuring adherence to policies and regulations, the role also provides training and customer service to campus personnel, fostering a clear understanding of grant rules while supporting financial goals.

Duties & Responsibilities
Grant Budgets
- Review and analyze grant and contract revenues and expenditures, ensuring expenditures are allowable and appropriate for established budgets.
- Monitor monthly budgets for over-expenditures, collaborating with budget managers to ensure discrepancies are addressed promptly.
- Execute budget modifications as requested by budget managers and their designees in alignment with departmental policies and procedures.
- Invoice and/or request reimbursement from granting and contracting agencies, ensuring use of proper account coding
- Determine and apply appropriate monthly indirect cost charges to grants and contracts.
- Reconcile contracts and grants monthly, notify the Director of discrepancies promptly
- Accrue entries at end of fiscal year end
Customer Service
- Provide customer service through various channels, including in-person, phone, and email, ensuring inquiries are handled in a timely and professional manner.
- Assist and advise personnel regarding budgetary policies, procedures, and compliance requirements.
- Act as a liaison between departments, collaborating to resolve budgetary issues and ensure effective service delivery.
- Support college personnel with budget updates, providing expert support for navigating budget queries and procedures.
Record Keeping
- Maintain accurate records of all financial transactions, ensuring proper documentation of funds received, allocated, or transferred.
- Ensure the integrity and confidentiality of financial records, adhering to relevant policies, procedures, and regulatory requirements.
- Prepare and maintain financial reports, providing accurate and timely information for audits, reviews, or reporting as needed.
- Assist in preparation and ensure collection of time & effort reporting for required state grants.
General Duties
- Provide front desk/late night office coverage on a rotating schedule, ensuring consistent and reliable service.
- Perform general ledger reconciliations.
- Perform other duties as assigned to support departmental operations and meet the needs of the campus.
Qualifications
Required Education and Experience:
- Bachelor's degree in accounting, finance, business administration, public administration, or a related field (or equivalent experience).
- Two years of professional experience in budgeting, financial analysis, accounting, or a closely related field.
Required Knowledge, Skills, and Abilities:
- Proficiency with financial management systems and standard office software, including Excel, Word, and Google Suite.
- Ability to identify and resolve financial discrepancies while maintaining accuracy.
- Strong organizational skills with the ability to manage competing deadlines effectively.
- Excellent written and verbal communication skills for technical and non-technical audiences.
- Commitment to maintaining confidentiality and ensuring compliance with financial policies and regulations.
Preferred
- Certified Public Accountant (CPA) certification.
- Direct experience in grant compliance, accounting, or reporting within higher education.
- Proficiency in accounting software and enterprise resource planning (ERP) systems.
