Position Title: Unit Secretary - Home Health
Reports to: Administrator
Department: Home Health Services
Position Summary:
The Unit Secretary will provide administrative and clinical support to the home health team, ensuring smooth operations for client care delivery. The role involves assisting with clinical tasks such as obtaining physician signatures, generating office reports, and scheduling client appointments. The Unit Secretary will also facilitate communication between clinicians, physicians, and office staff, maintaining an organized and efficient workflow.
Key Responsibilities:
· Clinical Coordination & Support:
o Obtain required physician signatures on home health documents (e.g., plan of care, certification, recertification).
o Assist with managing and tracking clinical paperwork, ensuring timely submission and compliance with regulatory requirements.
o Maintain client records, ensuring all documentation is complete and accurate.
o Communicate with physicians, clinicians, and clients to ensure timely responses to medical requests and signatures.
· Scheduling:
o Schedule client home visits, ensuring alignment with clinicians’ availability and patient needs.
o Coordinate with external agencies, such as labs, durable medical equipment providers, and pharmacies, to ensure coordinated care.
o Assist in scheduling meetings, conferences, or training sessions for the home health team.
· Office & Administrative Support:
o Generate and prepare reports, including client progress updates, statistical data, and clinical compliance documentation.
o Provide general office support, including answering phones, managing correspondence, and maintaining office supplies.
o Organize and maintain filing systems, both physical and electronic, to ensure accessibility of client and operational records.
o Assist with billing verifications, ensuring proper documentation for reimbursement.
· Medical Terminology & Documentation:
o Utilize knowledge of medical terminology to accurately transcribe and manage client data, documents, and reports.
Ensure the proper filing and documentation of clinical notes, assessments, and client interactions in the electronic health record (EHR) system
Qualifications:
· Education & Experience:
o High school diploma or equivalent required; associate degree or higher in healthcare administration, medical office technology, medical assisting, or a related field preferred.
o Previous office or hospital experience, with at least 1-2 years of experience in a healthcare setting.
o Strong understanding of medical terminology, clinical documentation standards, and healthcare office procedures.
· Skills & Abilities:
o Excellent communication skills, both verbal and written, with the ability to interact professionally with clients, clinicians, physicians, and administrative staff.
o Proficiency in office software (e.g., Microsoft Office) and Electronic Health Records systems.
o Strong organizational and multitasking abilities, with keen attention to detail and the ability to prioritize tasks effectively.
o Ability to maintain confidentiality and handle sensitive client information in compliance with HIPAA regulations.
· Physical Requirements:
o Ability to sit for long periods, with occasional bending, reaching, and lifting up to 20 pounds.
Work Environment:
· Fast-paced, team-oriented environment.
· Occasional travel to physician offices or client homes may be required, depending on the needs of the office.

Pay: $17.00 - $20.00 per hour
