What are the responsibilities and job description for the Receptionist position at Evergreen Recovery Centers?
As the Front Desk Receptionist, you play an important role in the intake process. You are the first point of contact for our patients and pride yourself on setting the bar high. Treating people with dignity and respect comes naturally to you. You work best in a fast paced, team environment and are comfortable with constantly changing priorities. Good customer service and a positive work environment is important to you. You are able to set and maintain professional boundaries.
PRIMARY RESPONSIBILITIES:
- Provide phone and in-person reception in adherence to confidentiality and privacy laws and in a manner, that reflects customer service orientation.
- Answer multiple phone lines by the fourth ring, take messages, make appointments, and refer calls to voice mail as appropriate.
- Sort and distribute incoming mail; prepare and properly affix postage to outgoing mail and packages.
- Assist in patient file maintenance, including set-ups and closing.
- Copy, collate, and assemble packets, manuals, and forms and keep form racks fully stocked.
- Keep common areas of use, including copy room and front counter, neat and fully stocked.
- Assist fellow office workers and clinical staff as needed to meet deadlines, deal with high activity times, and fill in for absences.
- Make reminder calls to next-day appointments.
- Maintain cleanliness in office and kitchen areas.
- Photocopy and collate materials for patient packets and administrative and clinical staff.
- Attend and participate in company meetings as scheduled.
- Maintain confidentiality of sensitive information in accordance with 42CFR and 45 CFR.
- Must comply with smoke-free workplace, non-smoker preferred.
- Perform other duties as assigned.
ESSENTIAL SKILLS:
- Reliable work attendance.
- Able to deal assertively and tactfully with difficult patients and with coworkers.
- Able to establish and maintain productive work relationships in a team environment.
- Ability to communicate effectively orally and in writing.
- Some positions require valid driver’s license and current auto insurance.
MINIMUM QUALIFICATIONS:
- 1-2 years office experience
- Exceptional interpersonal skills
- Proficient in Microsoft Office Suite
- Understanding of substance use disorder, treatment and recovery support a plus
- Ability to maintain confidentiality in accordance with 42 CFR, 45 CFR, and RCW 70.96A and related laws
- No patient relationship with Evergreen Recovery Centers in past three years
