Position Summary: The Administrative and Office Assistant will play a crucial role in ensuring

the smooth operation of the office by managing daily operations, overseeing inventory,

supporting administrative functions, and coordinating volunteer activities. This part-time role

requires a highly organized, individual who can effectively manage multiple tasks and contribute

to the overall efficiency of the organization. Bilingual (Spanish-English) preferred.

Key Responsibilities:

1. Office Operations:

  • Manage daily office operations to ensure a well-functioning work environment.
  • Handle incoming and outgoing communications, including phone calls and

emails.

  • Schedule and coordinate meetings, appointments, and events.

2. Inventory Management:

  • Oversee and maintain inventory of office supplies and diapers.
  • Track inventory levels, order supplies as needed, and ensure proper storage.

3. Administrative Support:

  • Assist the Executive Director with various administrative tasks.
  • Prepare and distribute meeting agendas, minutes, and other documentation.
  • Maintain accurate and up-to-date records, files, and databases.

4. Volunteer Coordination:

  • Recruit, train, and manage volunteers to support the organization’s activities.
  • Coordinate volunteer activities and events, ensuring effective engagement.
  • Maintain volunteer records and track volunteer hours and contributions.

5. Bilingual Communication:

  • Serve as a bilingual (Spanish-English) point of contact for visitors and callers.
  • Translate documents and communications as needed to support

Spanish-speaking clients and volunteers.

6. Perform other tasks as assigned or as needed to support the overall goals and

objectives of the organization.

Qualifications:

  • Education: High school diploma or equivalent required; Associate's degree or higher

preferred.

  • Experience: Minimum of 2 years of experience in an administrative or office support

role. Experience with volunteer coordination is a plus.

  • Skills:
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office

management software.

  • Excellent organizational and time management skills.
  • Strong verbal and written communication skills in both English and Spanish.
  • Ability to multitask and prioritize tasks effectively.
  • Attention to detail and problem-solving skills.
  • Ability to work independently and as part of a team.
  • Attributes:
  • Possess effective written and verbal communication skills and be comfortable

relating to strangers. Establish and maintain appropriate professional

relationships with families and co-workers.

  • Adhere to required confidentiality practices.
  • Reliable and punctual.

Physical Requirements:

  • Ability to sit for extended periods, stand, walk, and occasionally lift office supplies up to

20 pounds.
