Job Summary:
The Project Administrator will support project management teams in all phases of construction projects. This role involves coordinating project activities, maintaining documentation, and ensuring effective communication between team members, clients, and subcontractors. The ideal candidate will be proactive, detail-oriented, and possess strong administrative skills within a construction environment.
- Assist in the planning and execution of construction projects, ensuring adherence to timelines and budgets.
- Maintain and organize project documentation, including contracts, change orders, and schedules.
- Coordinate meetings, including preparing agendas, minutes, and follow-up actions.
- Serve as a liaison between project managers, clients, subcontractors, and vendors to facilitate clear communication.
- Prepare and Track project expenses, submittals, payment applications, lien and closeout documents, RFI, SDS, COI’s, Licenses and budgets. Assists in financial reporting and forecasting.
- Support the preparation and submission of project reports and presentations.
- Monitor project schedules and milestones, helping to ensure deadlines are met.
- Assist in procurement processes, including ordering materials and supplies as needed.
- Maintain a filing system for project-related documents and correspondence. Ensure compliance with safety regulations and company policies throughout the project's lifecycle.
Qualifications:
Minimum of 3 years of experience in project administration or a similar role within the construction industry.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and project management software (e.g., Procore, MS Project).
- Strong organizational skills and attention to detail.
- Knowledge of construction processes, terminology, and regulations is a plus.
- Excellent organizational and written/verbal communication skills.
- Positive attitude, professional demeanour with the ability to work independently and collaboratively with a team in a fast paced construction environment.
- CA Driver License
