What are the responsibilities and job description for the Operations Assistant position at Evolution Safety Resources?
ESR is looking for a permanent, full-time, and locally available Operations Assistant.
This individual will assist in providing administrative and logistical support to a company's operations team, ensuring smooth day-to-day operations by managing tasks like data entry, recordkeeping, coordinating with internal and external stakeholders, and assisting with the implementation of operational processes, all while aiming to improve overall efficiency and productivity within the department.
Your goal will be to help our two Operations Managers run their divisions in an organized fashion, supporting them administratively, which in turn helps our customers and team run as smoothly as possible.
The ideal candidate will be detail-oriented, computer literate (Microsoft Word, Adobe PDF, Microsoft PowerPoint), have a high bar for quality, and have the ability to meet the needs of two unique department heads. Key responsibilities include:
- Preparing reports and presentations
- Managing contractor onboarding and client contracts
- Entering and updating data into systems
- Managing inventory levels and ordering supplies
- Acting as liaison between clients, consultants, and contractors
- Identifying and resolving operational issues independently
This individual will support the Operations Managers for the two sides of our business – consulting and staffing. On the consulting side, the ideal candidate will assist with content generation for customers, having a keen eye for quality, brand awareness, and grammar/formatting. They will also assist with scheduling, client communications, and data entry/recordkeeping for routine functions. On the staffing side, this ideal candidate will assist with the onboarding of subcontractors and vendors, manage hotel bookings and travel logistics, and will ultimately assist in ensuring that all contracts and documents are signed, stored, and retained in an organized manner.
Skills and Abilities:
- Competent in Microsoft Word, Adobe PDF, and Microsoft PowerPoint.
- Ability to utilize new software applications (dispatch, candidate tracking, etc.)
- Comfortable utilizing technologies and software platforms for candidate tracking and communications (Engine, really, DocuSign, Team Engine, etc.)
- Strong attention to deadlines and budgetary guidelines
- Excellent accuracy and attention to detail.
- Strong written and verbal communication skills
- Flexibility/versatility combined with initiative, drive and ability to manage your own workload and priorities, including delivery to challenging deadlines.
