The Maintenance Supervisor oversees the day-to-day maintenance operations of the property to achieve quality customer service. The Maintenance Supervisor’s primary duties fall into the following three categories: 1.) Create, monitor and evaluate a high performance customer service program 2.) Maintain the property’s physical asset, 3.) Manage the maintenance of the property with a cost effective approach to meet or exceed financial goals.
Essential Duties and Responsibilitiesinclude the following, in addition to those of the Maintenance Technician, Housekeeper and Groundskeeper. Other duties may be assigned.
Create, Monitor and Evaluate a High Performance Customer Service Program In Accordance with Company Policy and Standards
- Interview, hire and train all maintenance service team associates. Oversee all administrative aspects of managing a service team including the approval of time sheets.
- Perform systematic and periodic performance reviews with all service team associates, making recommendations for salary increases or disciplinary action, when warranted.
- Ensure that all service team associates are well trained in the areas of professionalism, customer service and fair housing.
- Maintain a work schedule is to ensure that the property is adequately staffed to meet customer service and company goals. Overtime is to be managed according to the property’s budget.
- Communicate regularly with Community Manager regarding scheduling and service team concerns.
- Schedule, oversee and ensure daily work for the maintenance of pools, grounds, service requests, make-readies, move-ins and projects are completed in a timely manner.
- Schedule, monitor and help complete all service requests to meet the company’s standard of timely completion (goal within 24 hours).
- Provide the service team with technical training and assistance when needed.
- Schedule contractors to meet move-in and company policy deadlines for make ready turns.
- Monitor leasing activity and schedule changes when necessary to meet move-in goals.
- Monitor all contractors to ensure that contracted services are timely and of high quality.
- Work with Community Manager in walking apartments within 24 hours of move-out and making sure charges are properly assessed.
- Ensure excellent communication and customer service to prospective and current residents; promote a quality living experience for all residents.
- Treat all customers with courtesy and respect.
Maintain the Property’s Physical Asset.
- Comply with all City, County, Federal (including OSHA) regulations; ensure safety training and documentation of training for all service associates.
- Develop and monitor a systematic preventive maintenance program for the property. Document in Preventive Maintenance Notebook per company guidelines.
- Perform regular property inspections in order to maintain cleanliness, inspect for safety and identify any problems that may arise.
- Maintain an inventory control sheet and preventive maintenance schedule/log of all equipment.
- Be responsible for inventory control of all parts, ensuring an adequate inventory to consistently maintain the property’s asset and standards. This is to be done within the confines of the property’s budget and direction by the Community Manager.
- Maintain equipment records and be familiar with all equipment warranties.
- Maintain all applicable HVAC and swimming pool logs.
- Ensure that a weekly breezeways and exterior light survey is completed and burned-out lights are changed when needed.
- Train service team members to be alert and report any unusual activity seen on the property.
- Make ongoing recommendations to the Community Manager concerning any maintenance necessary to maintain the asset.
- Comply with all company standards; applicable health and safety rules and regulations, as well as applicable local, state and federal laws.
Manage the Maintenance of the Property With a Cost Effective Approach to Meet or Exceed Financial Goals.
- Make recommendations and actively participate in the budget process.
- Monitor all maintenance “actual verses budget” expenses on a monthly basis and adjust spending where necessary in order to assure that budgeted goals are met or exceeded.
- Assist in writing or obtaining specifications and scopes of work for all large or capital expense projects.
- Obtain bids on all capital projects according to the scope of work; after checking references, make recommendation to the Director of Operations/ and or Community Manager based on knowledge of vendors and bids.
- Assist Community Manager in making sure all contractor certificates are up-to-date.
- Monitor all purchases pertaining to the maintenance operations of the property.
- Train the service team regarding their influence in the financial expectations of the property.
- Help ensure the property is getting the best service or product for the price.
- In conjunction with the Community Manager, monitor and approve all maintenance invoices.
Supervisory Responsibilities
Directly supervises 1-7 employees in the Maintenance Department. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Education and/or Experience
One year certificate from college or technical school; or three to six months related experience and/or training; or equivalent combination of education and experience. CFC Certification and CPO required and other certifications/licenses as required by local jurisdictions.
