Seeking a Patient Care Coordinator/Receptionist for a private psychiatry practice with multiple MDs, NPs, PAs and therapists.
Key Responsibilities:
- Patient Greeting and Check-In:
- Greet patients warmly, either in person or via telephone, and assist with check-in procedures.
- Update patient insurance and demographic information accurately in the practice management system.
- Ensure patients’ medical records are accessible to the physician at the time of their visit.
- Insurance Verification:
- Confirm that the physician accepts the patient’s insurance before the visit. If not verified prior to the visit, ensure verification is completed either prior to the patient’s arrival or at a minimum, at the time of their arrival.
- Communication with Staff:
- Notify the appropriate staff regarding patient arrival and ensure medical records are available for the physician’s review.
- HIPAA and Documentation Compliance:
- Process and update HIPAA-related paperwork and other institutional forms as required by the organization.
- Maintain confidentiality and adhere to HIPAA regulations for the protection of patient information.
- Referral and Authorization Management:
- Retrieve and process referrals or insurance authorizations as required by the patient’s insurance plan and medical needs.
- Patient Wait Time Management:
- Regularly assess the status of the waiting room and keep patients informed about estimated wait times.
- Co-Payment Collection:
- Ensure patients have paid their co-pays, or collect co-pays as directed by billing staff, and issue receipts following established cash-control procedures.
- Appointment Scheduling and Follow-Up:
- Schedule follow-up appointments for patients as needed, ensuring that all necessary information is provided.
- Provide patients with guidelines for requesting medical records, if applicable.
- Phone Management and Appointment Scheduling:
- Answer phone calls in a timely and professional manner, assisting with appointment scheduling and patient inquiries.
- Charge Entry and Payment Processing:
- Perform simple charge entry tasks or enter payments collected from patients as directed by billing staff. Prepare co-pay reports as needed.
- Note: Charge entry and payment processing tasks are mutually exclusive.
- Appointment Reminder Calls:
- Initiate reminder phone calls for upcoming appointments, ensuring patients are informed of their scheduled visit.
- Other Duties:
- Perform other related duties as assigned to support the smooth operation of the practice.
Required Qualifications:
- High school diploma or equivalent required.
- Previous experience in a healthcare setting or customer service role preferred.
- Strong organizational and multitasking skills.
- Excellent communication skills, both verbal and written.
- Ability to handle sensitive information with confidentiality and professionalism.
- Basic understanding of insurance verification and billing processes is a plus.
- Knowledge of HIPAA regulations and patient privacy requirements.
- Proficient in using eClinicalWorks.
