Provide high-level administrative support to the Drug Substance (DS) and Parenteral Drug Delivery Solutions (PDS) product lines. This position will support the product line heads and their global teams by handling information requests, conducting research, preparing reporting, and performing administrative functions such as preparing correspondence, receiving visitors, arranging conference calls, managing travel / expenses and scheduling meetings. conference calls, and scheduling meetings. May also train and supervise lower-level clerical staff.
RESPONSIBILITIES
- Manage calendars and schedule appointments for the product line heads and other team members as required (often across many different time zones)
- Coordinate meetings and conference calls, including booking meeting rooms, arranging catering, and preparing materials
- Answer and direct phone calls and emails to appropriate team members at the request of the product line heads
- Maintain accurate records and files, including expense reports, invoices, and contracts
- Assist with travel arrangements, including booking flights, hotels, and rental cars.
- Support with the development of internal communication requirements for updates about the product line personnel and other key topics.
- Prepare and distribute various communications, reports (regular cadence and ad-hoc), and other documents as requested
- Effective communication with key internal (senior management) and external (customers, industry partners, etc.) stakeholders
- Organize visits and support conference organization.
- Provide general administrative support to team members as needed
REQUIREMENTS
- High school diploma or equivalent required; associate or bachelor's degree preferred
- 5 years of experience in an administrative support role
- Excellent organizational skills and attention to detail
- Experience operating in a global organization, ability to interact with people across multiple time zones and from various countries.
- Strong written and verbal communication skills
- Good proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Teams)
- Ability to work independently and as part of a team
- Strong problem-solving skills and ability to prioritize tasks
- Strong planning, organization and time management skills, attention to detail, ability to handle multiple tasks, and work in a fast-paced, time-sensitive environment
