We are currently seeking an entry level Administrative Support Specialist a pivotal role within our organization. This position provides support for administrative and sales activities and ensures that the company image is represented in a very professional manner. They will be responsible for coordinating lease returns from our clients, ensuring seamless coordination and communication throughout the process. This role involves close interaction with dealerships, vendors, and our clients to secure vehicles and necessary documentation. The ideal candidate will be detail-oriented, have strong communication skills, and possess the ability to manage multiple tasks effectively while maintaining excellent client relations. This position will also handle the posting of invoices and paying vendors.
Key Responsibilities :
- Code and post accounts payable invoices.
- Invoice customers for any miscellaneous charges.
- Reconcile payable statements and print checks.
- Download check register daily and import into positive pay. Upload bank file.
- Manage and authorize any exceptions received from positive pay.
- Maintain up to date insurance certificates and W9’s on vendors.
- Order and maintain office supplies.
- Plan company events and coordinate employee birthday and anniversary celebrations.
- Answer multi-line switchboard and greet customers.
- Assist with requests for lease buyout inquiries from clients, verifying financial information with Controller, and coordinating with Account Executive to provide details to client.
- Coordinate lease terminations and remarketing vehicles.
- Prepare used vehicle purchase contracts and any other documents pertaining to the sale.
- Process vehicle sales.
- Maintain the motor vehicle log.
- Maintain outstanding client relations by providing an exceptional level of support and timely follow-up by concluding on any matters in 4 hours or less.
