- 7:30 am – 4:30 pm (1 Hour Lunch) or
- 8:00 am – 4:30 pm (30 Minute Lunch)

General Description:
We are searching for a talented, highly organized and resourceful administrator to provide
office management, administrative, operational, clerical, and customer service support to our management team and service technicians. This is a full-time, non-exempt hourly position.
Essential Functions:

Primary Responsibilities:
- Manage in-bound and out-bound calls to schedule appointments and contracts for service technicians
- Manage paperwork flow in the office supporting Owner, Accounting Clerk, and Payroll Coordinator
- Price, invoice, and bill all service tickets
- Collect pricing from subcontractors and vendors for proposals / bids for the Estimator
- Type all proposals / bids for Estimator and distribute them via email
- Pull permits, request inspections and file documentation accordingly for multiple cities & counties in both Illinois and Iowa
- Track time sheets, locations and schedules for all service technicians
- Support technicians in the field by supplying customer information
- Issue purchase orders for technicians and dispatch as needed
- Audit service tickets for accuracy
- Utilize QuickBooks for billing and receiving payments
- File warranty claims with wholesalers
- Coordinate with the Local 25 Union Hall for apprentice school schedules and filing requests for target monies for contract services.
Related Knowledge, Skills & Abilities:
- Knowledge of the plumbing service industry
- Skill in the utilization of Microsoft Office Suite products including Outlook, Word, Excel
- Skill in the utilization of QuickBooks
- Skill in customer service & support as well as customer complaint & conflict resolution
- Ability to maintain confidentiality in handling files, conversations, and situations.
- Ability to utilize organizational skills and deductive reasoning to meet deadlines.
- Ability to understand and follow oral and written instructions.
- Ability to effectively communicate with those contacted throughout the course of the workday.
- Ability to establish and maintain effective working relationships with employees, contractors, vendors, wholesalers, and customers.
Minimum Qualifications:
Any combination of education and experience that would likely provide the required knowledge and abilities is qualifying.
Education and Training:
- Possession of a High School Diploma or Equivalent (GED)
- Associate’s degree in business administration or related field preferred
Experience:
- 4-6 Years of strong administrative support experience
License or Certificates:
- Possession of a valid driver's license
