Job Summary
The Regulatory Services Coordinator is a specialized research compliance professional responsible for coordination and support of processes and programming to ensure University compliance with federal regulations, policy requirements, and best practices. By performing these duties, the coordinator works with a wide variety of stakeholders including compliance specialists, research investigators, and University administrators.

The Regulatory Services Coordinator is a specialized research compliance professional responsible for coordination and support of processes and programming to ensure University compliance with federal regulations, policy requirements, and best practices. By performing these duties, the coordinator works with a wide variety of stakeholders including compliance specialists, research investigators, and University administrators.
Essential Duties And Responsibilities
- Responsible for coordinating the workflow, preliminary review, and processing of incoming submissions in various programs to determine funding, regulatory applicability, risk status, and ensure completion of documents.
- Communicate with investigators to complete submissions and fulfill training and occupational health requirements.
- Responsible for coordination and maintenance of committee activities and fulfilling routine compliance obligations various programs in the Office of Regulatory Services, including committee rosters, appointments, contracts and invoicing for board members and consultants.
- Assist with the coordination of monthly committee meetings including scheduling, minutes, agenda, distribution of documents, reminders, and quorum.
- Assist with maintaining federal assurances, registrations, and annual reporting; serve as institutional administrator for ResearchMatch, SmartIRB, and ClinicalTrials.gov.
- Coordinate the scheduling and organization of training and outreach activities, including conferences, meet & greets, presentations, workshops, new faculty orientations, and peer mentoring program.
- Maintain tracking and conducts communication for specialized training requirements such as occupational health & safety, responsible conduct of research, research conflicts of interest, human subject protection, HIPAA in human subject research, FERPA, good clinical practices, export control, recombinant/synthetic molecules, animal research, and research ethics; maintains content and functionality of online training modules.
- Assist with coordination and execution of monitoring procedures and activities including maintain process for requesting and processing continuing reviews and follow-ups of approved protocols/COI management plans/technology control plans; scheduling, tracking, and documentation of monitoring visits, reviews, inspections, and inquiries.
- Performs a variety of administrative duties such as:
- Maintain and update office webpages, training modules, and forms.
- Purchase and maintain office supplies, memberships, institutional registrations and service contracts.
- Maintain office procurement card and related recordkeeping; input monthly timekeeping for staff.
- Plan and coordinate staff member travel arrangements and reimbursements.
- Assist with posting positions for hire and onboarding new staff.
- May provide oversight of additional support staff or interns.
- Performs other duties as assigned.
- Bachelor’s Degree with two (2) years of experience in the coordination of programs, training, or monitoring to meet regulatory or policy requirements or six (6) years of an equivalent combination of education and experience.
- Master’s degree in a relevant field with at least two (2) years of experience in compliance or research coordination is preferred.
- Knowledge of federal regulations or policies relating to research.
- Experience in research compliance in a higher education institution is highly desirable.
- Professional certifications related to research, coordination, or compliance.
- Ability to make independent judgments regarding the interpretation and application of federal regulations.
- Ability to think critically and work through complex issues. Ability to apply policy and legal concepts to issues.
- Ability to communicate complex information to stakeholders in a clear and concise manner both verbally and in written form.
- Ability to generate complex business correspondence with a high degree of accuracy and clarity.
- Excellent interpersonal and customer service skills to work independently with all levels of University personnel to facilitate efficiency and move projects forward.
- Excellent time management skills and demonstrated ability to independently prioritize heavy workload, meet deadlines, cope with peak workload periods and apply creativity and originality in time sensitive problem-solving situations.
- Highly motivated with strong initiative to improve, update, and develop programs to meet user expectations and changing regulatory requirements/guidelines.
- Experience with recordkeeping through use of databases, electronic filing, and spreadsheets.
- Proficiency with common office technology such as MS Office suite, Adobe, Excel, databases.
- Ability to learn new technology and integrate into daily activities.
- Willingness to attend external trainings to gain expertise in specific areas.
- May work in all weather conditions.
- May work around standard office conditions.
- May work in laboratory environments.
- Repetitive use of a keyboard at a workstation.
