The Estimating & Construction Assistant will provide support to ensure efficient office operations and contribute to the success of the Estimating and Construction Operations team. This role requires a strong ability to multitask, exceptional organizational skills, and a proactive approach to problem-solving.
ESSENTIAL FUNCTIONS OF THE JOB AND THE PERCENTAGE OF TIME SPENT ON EACH FUNCTION
25% - Office Administration :
o Assist the VP of Construction and VP of Estimating with executive duties such as team correspondence, team presentations, meeting arrangements, and scheduling.
o Maintain and update Estimating and Construction area office supplies. Report any needs to the Office Manager.
o Input and maintain data in various software systems (BuildOps, MS Office, Paylocity, etc)
o Develop and implement office procedures and systems to enhance efficiency and organization.
o Assist with preparation and coordination of company events, meeting, and training sessions.
25% - Construction Project Support :
o Assist project managers with documentation including contracts, change orders, project files, RFI’s, material submittals, and schedules.
o Coordinate with subcontractors and vendors to schedule meetings, manage documentation, and ensure timely delivery of materials and / or services.
o Generate and distribute reports related to project status, financials, and administrative tasks.
25%-Estimating Support :
o Assist estimators with bid documentation including bid forms, bid bonds, RFI’s, and other bid documents
o Coordinate with subcontractors and vendors to ensure timely delivery of proposals and documentation
o Generate and distribute reports related to bid opportunities, bid results, and administrative tasks.
15%- Client & Team Interaction :
o Serve as the first point of contact for the Estimating and Construction team for clients and visitors, providing a professional and welcoming experience.
o Facilitate communications between clients, vendors, and internal teams to resolve issues and ensure smooth operations.
10%- Continuous Improvement :
o Identify opportunities for process improvement and operational efficiency, implementing best practices to enhance the overall performance of the estimating and construction operations.
