What are the responsibilities and job description for the Field Services Sr Administrative Assistant position at Excell Marketing LC?
JOB SUMMARY: Excell Brands is one of the leading distributors of trading cards and novelty collectible items in the US. The Field Services Administrative Support Specialist Level 2 is an administrative role in our corporate office that will support our staff out in the field as well as in our office and warehouse. This will include receptionist duties such as answering phone calls, greeting visitors and admitting / signing them into the building. You will provide administrative support by sending out supplies to the field staff, putting together new hire packets and by investigating, analyzing / troubleshooting problems that arise and assist in finding solutions. Possible issues you would encounter could be customer returns, incorrect shipments, billing errors, store or field staff escalations and other problems. You will also help with various administrative tracking / reporting tasks and other projects as directed by the office manager.
JOB DUTIES:
- Troubleshoot Issues & Solving Complex Problems such as: investigate returned shipments and determine where to credit account, analyze discrepancies with critical processes such as commissions, missing or erroneous UPS shipments, vehicle maintenance, store or field merchandiser escalations.
- Support field staff with sending supplies, creating new hire packets, administrative set up for new hires and other administrative duties
- Communicating assignments and directives to field staff as appropriate
- Account management including monitoring / setting up store service scheduled, working with 3rd part vendors and assisting with customer issues
- Review analyze and approve field expenses
- Answering phone calls in a professional manner and directing or following up on those calls as necessary
- Compiles and distributes daily attendance report with accuracy
- Maintain office supply inventory and ensure well stocked
- Maintain office, mailroom and conference rooms for supplies and general cleanliness
- Assist with various office and administrative duties as assigned by managers
JOB REQUIREMENTS:
- Ability to remain professional and maintain a pleasant demeanor in dealing with all the requirements of the position
- 1 Year of experience using a multi-line telephone system required.
- Ability to work independently and treat confidential information with discretion
- Proficiency with Microsoft Office Products (Excel, Word, Outlook)
- Proficiency with Google Drive and Sheets
- Ability to effectively communicate, both orally and in writing with team members, managers and customers
