Job Summary
We are seeking a highly organized and detail-oriented friendly Office Administrator to join our team. The ideal candidate will be responsible for overseeing daily office operations, ensuring efficient workflow, and providing administrative support to staff and volunteers. This role requires strong communication skills, proficiency in office management software, and the ability to manage multiple tasks effectively.
General Administration
- Act as receptionist for the church. Provide a hospitable presence to visitors and members.
- Provide the pastor with administrative assistance. Maintain operational documents and information (e.g., the Lay Leadership List, the worship service leader grid, and brochures).
- Receive communications (phone, email, snail mail), evaluate information then take appropriate action and interpret/disseminate to others (i.e. prayer requests can affect membership information, service leader changes, information affecting financials, calendar/newsletter changes, etc.).
- Attend bi-weekly staff meetings.
- Oversee membership database and train other staff in its use. Produce queries and reports for staff or committees (Church Directory, Attendance Rosters, specific groups for mailing labels, etc.). Manage yearly inactive Member process.
- Complete yearly reporting for the Minnesota Annual Conference.
- Provide support for other church staff and committees as agreed to and prioritized by the Lead Pastor.
- Supervise custodian position.
- Create and maintain documentation for all office duties.
- Perform other duties as assigned by or approved by the Lead Pastor.
Communications Ensure the accurate, timely, and effective production of calendars, bulletins, member-level communications, newsletters, email announcements, and congregational mailings:
- Create and maintain the calendar. Update the church website. Keep calendar and descriptions of events in the newsletter, bulletin, website, and other publications in sync with each other.
- Produce regular church publications – weekly bulletins, bi-monthly newsletter, weekly emails.
- Oversee the church website and presence on social media platforms.
- Complete special seasonal communications (i.e. bookmarks, flyers, postcards) as directed by Pastor.
- Create worship materials for additional services and funerals.
Office Management: Provide oversight for office technology and supplies. This includes computer networks, telephone systems, copiers, and mail distribution.
- Monitor office budget, office equipment, and supply inventories. Order office supplies as needed. Oversee maintenance contracts and equipment purchases.
- Maintain office telephone system.
- Maintain users (staff) in the online Microsoft system. First point of contact for technical (software) issues, liaison with Emerson Technology and AIS (printer company).
Volunteer Coordination: Coordinate with various regular office volunteers to execute additional support functions including:
- Prepare the weekly bulletin and insert.
- Create weekly worship service PowerPoint presentation.
- Tracking worship attendance.
- Prepare mailers.
- Weekly scripture readers, ushers, speakers, and liturgists.
Desired Skills, Knowledge, and Abilities
- 3-5 years of administrative experience.
- Proficient in Microsoft Office (Word, Publisher, PowerPoint, Excel).
- Excellent verbal and written communication and interpersonal skills.
- Demonstrates the ability to multitask; anticipates needs; works independently and as a member of a team, and works well with many different personalities.
Job Type: Part-time
Pay: From $22.00 per hour
Expected hours: 20 – 25 per week
