We are seeking a dedicated and organized individual to join our team as a Mental Health Office Assistant.
Position Overview:
The Mental Health Office Assistant will play a vital role in maintaining the smooth and efficient operation of our office while supporting our mental health professionals and clients. This position involves administrative tasks, client interactions, ensuring a welcoming and supportive environment, as well as managing verifications and authorizations. The ideal candidate must be able to multitask and assist all members of the office team.
Key Responsibilities:
- Greet and assist clients in a friendly and professional manner.
- Schedule and confirm appointments for clients with mental health professionals.
- Handle verifications and authorizations for client services, ensuring all paperwork is accurate and processed in a timely manner.
- Maintain and update client records in accordance with confidentiality protocols.
- Handle incoming phone calls and emails, directing inquiries to the appropriate team members.
- Assist in preparing and organizing paperwork for sessions and client documentation.
- Provide general administrative support, including data entry, filing, and office organization.
- Ensure the office environment is clean, welcoming, and conducive to healing.
- Assist in the coordination of workshops, events, and client programs.
- Collaborate with the mental health team to ensure efficient office operations.
- Be proactive in supporting and assisting all team members with office needs.
- Multitask effectively in a fast-paced environment, ensuring all duties are completed accurately and on time.
Qualifications:
- Must have experience in mental health or related fields.
- Must have current CANs and ASNA certification.
- Previous administrative experience, preferably in a healthcare or mental health setting.
- Strong organizational and multitasking abilities.
- Ability to handle sensitive and confidential information with discretion.
- Excellent communication and interpersonal skills.
- Proficient in Microsoft Office Suite or similar software.
- A compassionate and empathetic demeanor with a genuine interest in mental health and wellness.
- Ability to work both independently and as part of a team.
- Previous experience in a mental health office is a plus, but not required.
- Bilingual skills are preferred, but not required.
