Position Summary

The Director of Operations is responsible for managing, training and supervision of a team that ensures the excellent standards of unit conditions for guests and owners.

Primary Responsibilities:

Maintenance

· Schedules all monthly maintenance and ensures completion.

· Monitors Breezeway to ensure there are no last-minute bookings.

· Reviews all monthly maintenance reports and follows-up on outstanding issues.

· Reviews invoices and addresses issues with team.

· Resolves billing and invoice issues with maintenance vendors as needed.

· Oversees large maintenance projects.

· Hires and trains maintenance vendors on system and monthly maintenance inspections.

· Enrolls new preferred vendors.

Property Management

· Inspects homes in absence of Property Manager(s).

· Schedules vendors in absence of Property Manager(s).

· Walks all owner arrivals.

· Reviews inspection reports.

· Assists Property Managers with guest damage issues and inspections as needed.

· Enrolls staff in all systems.

· Schedule rental readiness checks with Property Managers.

· Audits and processes independent contractor invoices weekly.

· Checks behind Property Managers for ongoing training needs.

Housekeeping

· Orders all amenities for housekeepers and storage.

· Orders linens, pillows, duvets and inserts for storage.

· Stock and organizes storage area.

· Tracks housekeeping schedule and ensures all cleans and inspections are scheduled through Breezeway.

· Hires and trains housekeeping staff on E30A standards, procedures, and systems.

· Schedules all deep cleans.

· Calculates cleaning fees per housekeeper and property.

On-Board Homes

· Orders bikes, linens and establishes owner closet(s).

· Assigns housekeeping.

· Takes inventory of kitchen and orders required items.

· Creates any specific requirements for home in Breezeway.

Miscellaneous

· Assists Guest Services with guest issues as needed.

· Creates after hours on call schedule each month.

· Creates Property Manager schedule.

· Provides direct support and coaching to front-line managers as they assist their direct reports through transitions.

· Distributes invoices to approval stage, payment stage, and tracking stage.

· Oversees and approves weekly maintenance invoices, housekeeping invoices, property manager purchases for homes, and property replenishment cost and approves for accounting.

Performs other duties as assigned by supervisor.

Job Requirements (Experience, Knowledge, Skills)

· High School diploma or equivalent is required.

· Three (3) years of supervisory experience is required.

· Three (3) years of experience in short-term rentals and/or hospitality industry is preferred.

· Strong analytical thinking with the ability to understand complex relationships.

· Outstanding organization skills

· Solid management skills

· Excellent verbal and written communication skills and the ability to communicate effectively in group meetings, discussions and by telephone.

  • Advanced computer skills required (Excel, Outlook, Word); DOS-based experience a plus

Physical Requirements

· Prolonged periods of sitting and working on a computer

· Must be able to lift up to 15 pounds at a time.

Job Type: Full-time

Pay: $80,000.00 - $100,000.00 per year
