Job Description: Office Manager – Auto Body Shop
We are seeking an organized and motivated Office Manager to join our team at Executive Auto Body, a busy and reputable auto body shop. The Office Manager will play a key role in ensuring smooth day-to-day operations by managing administrative tasks, overseeing customer interactions, and supporting the shop's overall efficiency.
Key Responsibilities:
- Customer Service:
- Assist customers in person, over the phone, and via email with professionalism and friendliness.
- Schedule appointments, provide updates on repair progress, and address customer inquiries and concerns.
- Maintain a positive customer experience throughout the repair process.
- Administrative Management:
- Oversee daily office operations, ensuring that administrative tasks are completed accurately and efficiently.
- Process invoices, estimates, and repair orders.
- Handle incoming and outgoing communications, including emails and phone calls.
- Maintain organized records of customer files, vendor accounts, and shop documentation.
- Staff Coordination:
- Support the scheduling and coordination of shop staff to optimize workflow.
- Communicate with technicians and shop managers to ensure seamless operations.
- Partner and Vendor Relations:Work with our partnership companies to process claims and ensure timely resolution.
- Manage relationships with suppliers and vendors to maintain shop supplies and inventory.
- Handle Repair Estimates
- Prepare accurate repair estimates using industry-standard estimating software (e.g., CCC ONE, Mitchell, Audatex, etc). (Prior experience with estimating software is highly preferred).
- Collaborate with technicians to ensure estimates reflect necessary repairs and parts.
- Review and adjust estimates based on standards and customer needs.
- Submit estimates to companies and follow up on approvals or revisions as needed.
- Ensure proper documentation of estimates and related correspondence in the management system.
Qualifications:
- Education and Experience:
- High school diploma or equivalent (preferred).
- Experience in an office management, administrative, or customer service role, preferably in the automotive or repair industry.
- Skills and Competencies:
- Excellent organizational and multitasking skills.
- Strong communication skills.
- Proficiency with computers (sending emails, using spreadsheets).
- Familiarity with the auto repair industry.
- Other Requirements:
- Knowledge of automotive repair processes and terminology (highly preferred).
- Valid driver’s license.
